We are seeking a motivated and organized Executive Assistant to support our Managing Director.
Role Overview:
The Executive Assistant will play a pivotal role in ensuring the smooth operation of the Managing Director’s office. This includes managing calendars, tasks, and meeting deliverables, tracking KPIs, updating dashboards, and assisting with business development activities such as cold calling and appointment setting.
The role will also include assistance sometimes with another business (industrial distribution), as well as some personal bookings as needed.
The ideal candidate will thrive in a fast-paced environment and be adaptable to changing time zones (UK or USA – EST) as needed.
Key Responsibilities:
– Calendar Management: Efficiently manage and coordinate the Managing Director’s schedule, ensuring all appointments and meetings are well-organized.
– Task Management: Track and prioritize tasks for the Managing Director, ensuring deadlines are met and follow-ups are conducted.
Meeting Deliverables Follow-Up: Ensure all meeting deliverables are completed on time and keep the team accountable for their responsibilities.
– KPI Tracking & Dashboard Updates: Monitor and update KPIs and dashboards to reflect the company’s performance metrics accurately.
– Business Development: Assist in business development activities, including cold calling potential leads and setting up appointments for the Managing Director.
– Communication: Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the Managing Director.
-Qualifications:
– Experience: Proven experience as an Executive Assistant or in a similar role, preferably in a fast-paced environment.
– Skills: Exceptional organizational skills, strong attention to detail, and the ability to multitask effectively.
Technical Proficiency: Comfortable using productivity tools and software for calendar management, task tracking, and data management.
– Communication: Excellent verbal and written communication skills.
– Adaptability: Willingness to work in different time zones (UK or USA – EST) depending on the month.
– Initiative: Proactive approach to problem-solving and the ability to work independently.
– Interest: Excited by the prospect of working in a dynamic and fast-paced environment.
