Hiring: Full-Time Executive Assistant – Remote – $18,000-24,000 /yr

We are looking for an Executive Assistant who can declutter and help the CEO organize the business. Picture yourself as the orchestrator of efficiency, ensuring that priorities are crystal clear and tasks are seamlessly executed. In this role, you’ll be more than an assistant; you’ll be a decision influencer, empowering the CEO to make impactful choices that drive success!

Responsibilities of the Executive Assistant:

As the Executive Assistant to our client, your primary mission is to serve as their right-hand person, optimizing the COO’s workflow, enhancing overall efficiency, and collaborating with him on strategic priorities, and ensuring company-wide objectives are achieved. You will play a pivotal role in assisting with the management of the other executives and team members, whilst also overseeing the client’s inbox and calendar, managing projects, and follow-ups, and completing crucial tasks to enhance the overall efficiency of our client’s operations.

Your responsibilities include:

Strategic Support:
* Assisting the COO with strategizing on how they can achieve the broad objectives set for the other executives on the team
* Keeping all executives and team members in sync and streamlined with the direction of the COO
* Facilitating the implementation of the COO’s Operational plans for the organization

Scheduling and Recruitment Support:
* Assist in scheduling interviews, follow up with candidates, and manage assessments/tests during the recruitment process.
* Pre-empting potential hiring needs of the team and conveying your ideas/thoughts to the COO

Email Management:
* Sorting, organizing, and responding to emails efficiently.

Calendar Management:
* Organizing schedules, appointments, and reminders.

Social Media Management/Content Distribution:
* Collaborate on content planning and work weekly to organize content-related tasks.
* Facilitate content distribution across various platforms, including TikTok, YouTube, and other relevant channels, supporting the client’s social media presence.

Project Management:
* Utilize project management tools such as ClickUp to keep tasks and projects on track, ensuring efficient workflow management.

Other Administrative Tasks:
* Provide administrative support, contributing to the improvement of operational efficiency and ensuring seamless day-to-day operations.
* Engage in virtual brainstorming sessions, actively participating in idea generation and providing valuable insights.
Other administrative tasks may be assigned from time to time.

Tech Stack: Microsoft Office (MS Excel), G-Suite (Google Calendar, Gmail), ClickUp, Asana, etc.

Compensation: $18,000-$24,000/year

Qualifications:
– Excellent communication skills in English, both written and oral.
– Proven experience as an Executive Assistant or in a similar role supporting C-level executives.
– Exceptional organizational and time-management skills.
– Proficiency in using office software and communication tools.
– Flexibility to adapt to changing priorities, travel schedules, and unexpected challenges with a proactive and solution-oriented approach.
– Strong problem-solving capabilities, anticipating potential issues and providing effective solutions.
– Meticulous attention to detail to ensure accuracy in travel arrangements, scheduling, and documentation.
– A proactive mindset with the ability to take initiative, anticipate needs, and act autonomously when required.
