Job Description

JOB DESCRIPTION: We are looking to hire a full-time Executive Assistant/Legal Assistant for our law firm. We are a family-run, fun, and growing US-based law firm that is looking for a full-time addition to our company.
The Executive Assistant (“EA”) will need to work from 8:00 a.m. to 5:00 p.m. Eastern Standard Time. The EA will work closely with one of the attorneys in handling a variety of recurring and random tasks.
Specifically, we are looking for someone with EXCELLENT English writing and speaking skills with great attention to detail who can perform the following tasks:
—Answer phones —
The EA will answer the phone for a busy office in a polite and professional manner. The calls will be transferred to the appropriate person in a timely fashion.
— Lead Follow-up —
The EA will follow up with leads we have received and potential new clients that either did not set up a consultation or did not retain after a consultation.
—Manage CEO’s calendar —
The EA will monitor and manage the CEO’s calendar by:
Managing incoming appointment requests by reviewing, accepting, or declining them based on the CEO’s availability and priorities. Communicating with requestors about decisions promptly.
Considering the CEO’s productivity patterns and energy levels when scheduling.
Sharing meeting agendas, materials, and relevant information with the CEO ahead of time to ensure they are well-prepared for each engagement.
Resolving scheduling conflicts or double bookings by identifying alternative time slots and consulting the CEO for their preferences.
Keeping the CEO informed of any schedule changes, new requests, or important updates related to their calendar.
— Draft Emails and Manage Email Inboxes —
The EA will monitor and manage the CEO’s email by:
Setting up clear communication guidelines with the CEO
Sorting emails into categories based on their importance and the CEO’s preferences
Utilizing filters and email rules to automatically categorize, label, and prioritize incoming emails
Creating drafts of responses to frequently asked questions or routine requests. The CEO can review and approve these templates to save time.
Using the CEO’s calendar to schedule appointments and meetings directly from the email
Adding to-do items to client management software
— Marketing-Related Tasks —
The EA will keep track of the number of calls received daily, the consultations set and occurring, and the source of the leads. A report will be completed weekly for the CEO to review.
REQUIREMENTS: The following skills and characteristics are required:
– Great English writing and speaking skills
– Comfortable using software (Teams, Microsoft Outlook, Word, Excel, OneNote, Sharepoint, Management Tools)
– Honest and hardworking

– Fast learner
– Works well with others (We already have an outstanding team, looking to grow it)
– Not afraid to ask questions and provide feedback
– At least two (2) years of previous experience working as an Executive Assistant or in a similar role
This job is not for companies, contractors working for multiple clients, or those who have never worked online before. Because this is a full-time job, side projects are not allowed.
DESIRED HOURLY RATE: $5 per hour (a raise will be given after 6 months and then periodically after that).
BENEFITS: You get 2 weeks of paid time off.
LOCATION PREFERENCE: Philippines
HOURS PER WEEK: 40 hours per week (Monday through Friday). Working on weekends is never required.
WORKING HOURS: Working hours are from 8:00 a.m. to 5:00 p.m. Eastern Standard Time, with a one-hour lunch break. (Philippine Time: 9:00 pm to 6:00 am).
ADDITIONAL DETAILS: Salary will be paid every 2 weeks. This job requires a high-speed Internet connection. You are expected to work from your own home.
You will have to use a program to track your time.
