Job Description

We are seeking a highly organized, proactive, and efficient Executive Assistant to support CEO, Dr. Jerry Yoo, in the day-to-day operations of our businesses and life. The ideal candidate should be self-motivated, detail-oriented, and able to manage multiple tasks, people, and delegate as needed effectively. This individual should be constantly looking for ways to improve time and financial efficiency and reduce stress for the CEO. Due to my clientele, I need someone who speaks and writes perfect American Conversational English.

The Executive Assistant will be responsible for managing my calendar, scheduling appointments, taking calls, researching services/products, travel plans, providing customer service calls as needed, recording, tracking, and helping to place all of the ideas of Dr. Yoo into action as well as organizing my daily business and personal operations.

• Key Responsibilities:
-Manage email inbox, provide outbound responses and create calendar and schedule appointments according to recommended preferences using Asana.
-Schedule meetings with podcast guests, community partners, family, and team and prepare agendas
-Able to delegate and monitor tasks (leadership/management skills are a plus).
• Ensure that I am prepared and on time for meetings and events and other responsibilities of my life.
• Data Entry and working with applications like Google Sheets and formulas.
• File Management – Organize, and rename files and folders.
• Respond to emails professionally and arrange them according to priority.
• Provide customer service as the first point of contact send emails and texts to customers, leads, social media responses weekly
• Manage contact lists and organize Managers’ calendars.
• Regular research on the latest trends, competition, and events that are significant in physical therapy.
• Attend virtual meetings if possible and screen record such meetings, take down minutes of the meeting, and cascade them to the team in a detailed manner.
• Conduct market research and report on the results.
• Prepare presentations as needed (powerpoints and Miro)
• Consistently create standard operating procedures for directions in executing tasks.
• Other ad hoc tasks.
• Writing: the creation of SOPs, client correspondence, and content. Transcribing notes into ideas and putting them in place upon research and direction
• Record and type up any meetings that I have and deliver to me to complete tasks or remember.
• Create meeting agendas and other documents for business or personal purposes.
• Create an action items list for team members using a template or other suggested avenues.
• Online Management:
-Monitor and respond to all social media posts as well as new followers
-DM outreach to followers for lead generation

• Customer Service and Client Management:
-Answer customer service emails and inquiries (responsible for personal inbox)
-Manage all email accounts as directed.

• Time Management and Prioritization:
-Help prioritize tasks and projects, ensuring optimal use of time
-Assist in setting goals, tracking progress, and adjusting priorities as needed

• Research and Reporting:
-Conduct research on industry trends, potential clients, and competitors to support business decisions
-Prepare and present reports, presentations, and briefings for me as needed.
• Conduct practice analysis on other physiotherapy offices as directed
• Create the systems and SOP for my businesses (physio, coaching, podcasting)

Social media:
DM reach outs and responses as needed across social platforms

Qualifications
• -Proven experience as an Operations Associate, Administrative/Personal Assistant, or a similar role
• Expert-level Conversational American English written and verbal communication skills.
• High-level organizational & follow-up skills.
• Excellent documentation skills.
• Embraces change and enjoys interactions.
• Up to date with the latest technical software, project management tools, and many more and not afraid to ask questions or figure out how things work!
• Ability to manage a calendar and schedule appointments and delegate to other VAs as needed.
• Strong time management skills and the ability to multitask.
• Ability to work in a fast-paced environment.
• Willing to work with purpose and intent.
• – C1 English (C2 preferred)
– 1 year as an EA, PA, or VA
– 50 wpm typing speed

– 30 minimum hours a week Available during EST working hours
