ABOUT THIS ROLE
==========
We’re currently in search of an Executive Assistant for our organization’s CEO & CTO. Tasks will include standard, fairly light-duty admin work such as:
– Booking travel accommodations
– Handling routine, straightforward tasks — but with very careful attention to detail
– Ordering office supplies when needed to be delivered to the office; coordinating with appropriate personnel for delivery.
This will also include moderate tasks, such as:
– Bookkeeping
– Filling out compliance paperwork (training will be provided, but the team member must be incredibly diligent & error-free).
– Proactively connecting with our CEO & CTO when you can be helpful; they won’t always have the time to tell you exactly what to do, and timely check-ins at the right time(s) — such as when the CEO is traveling and may need his flight rebooked — would be incredibly helpful.
Not required, but the *IDEAL* candidate would also have some financial background to help with:
– Tax documentation preparation
– End-of-year documents
– Financial regulatory paperwork

REQUIREMENTS

– Most importantly: Honesty, and a commitment to candid communication — even when it’s hard.
– Someone who learns quickly, and can adapt well in a fast-moving environment.
– Someone who’s extremely detail-oriented (likely top 1% of the population), but also highly efficient.
– Someone who will ask questions when they need clarity but who understands new concepts quickly and executes them.
– 35-40 hours per week, mostly during U.S. hours
– C1 or C2 on the CEFR scale.
– Comfort using Gsuite and Microsoft Office.
– Strong logical faculties.
– Strong organizational skills & time management abilities.
– Prompt communication.
– A dependable computer, power connection, and high-speed internet + backup hotspot.
– A typing speed of at least 50 WPM.
– Willingness to log hours using a time tracker, such as Hubstaff.

DESIRED SKILLS (training offered if experience isn’t present upon hire)

– A candidate who has worked with at least one very time-scarce, busy executive in a demanding role.
– Ambition to grow into more senior positions and/or management over time.
– An interest in learning and getting better in all aspects of life; not just professionally.
– Someone who’s intimately familiar with startup environments.
– Someone who can handle an executive’s occasional intensity. Our organization is one of the few that treats team members like they’re humans with lives outside of work (because we all are — including our executives!). These are both incredibly kind, compassionate leaders — but they carry a lot of responsibility, and as a result, can come across as curt or harsh to a candidate who hasn’t worked with a fast-moving professional who needs efficiency in everything they do.
We need a candidate who’s familiar with this and understands that this doesn’t mean they don’t value you.
