Key Responsibilities:
Customer Service:
-Handle customer inquiries, complaints, and support requests promptly and professionally.
Appointment Scheduling:
-Coordinate meetings, interviews, and client appointments efficiently.
Email Management:
-Manage and respond to emails, prioritize messages, and organize the inbox.
Administrative Support:
-Assist with administrative tasks such as schedules, file management, and document preparation.
-organize our G Drive and reducing clutter
Follow-up Calls:
-Make follow-up calls to clients, vendors, prospects and employees.
HR Support:
-Assist with onboarding /offboarding employees, tracking time off and schedule training.
Sales Support
– Helping with lead generation through Google research
Qualifications:
Must-Have:
Experience: Proven experience as an Executive Assistant or in a similar administrative role.
Tech-Savvy: Capable of learning, mastering and utilizing different software
-Communication Skills: Excellent verbal and written communication skills.
-Organizational Skills: Strong ability to prioritize tasks and manage time effectively.
-Problem-Solving: Proactive in identifying and resolving issues efficiently.
-Attention to Detail: Meticulous in ensuring accuracy and completeness in all tasks.
Preferred:
-Experience in the cleaning industry: Understanding of the janitorial services sector.
Flexibility: Willingness to adapt to changing needs and schedules.
Finding the Right Person
I have been extremely frustrated with not finding the right person for this role. I need a take-charge individual who can learn quickly and own these tasks. You must understand that changes to one process can affect multiple processes. For example, if a cleaner quits or a facility is terminated, it’s crucial to update the rag schedule and other related processes immediately.
I am a Type A personality when it comes to this kind of laziness or lack of understanding. If you can’t grasp the interconnectedness of these tasks, do not apply. I am willing to do whatever it takes to find the right person, even if it means hiring multiple people to find the one who can truly alleviate my stress and handle these responsibilities effectively.
