Phamily Consulting is a dynamic consulting agency, committed to delivering excellence in every project. Our dedicated team thrives on challenges and innovation, making us a leader in our field. We are currently seeking a highly organized and proactive Executive Assistant to join our team.

Key Responsibilities:
– Subcontractor Coordination: Follow up on subcontractor bids, ensuring timely submissions and compliance with project requirements. Collect and maintain essential documentation such as insurance policies and W9 forms from subcontractors.
– Financial Management: Handle accounts receivable tasks, including invoice management, tracking payments, and maintaining financial records.
– Schedule and Calendar Management: Manage the schedules and calendars of two company owners, ensuring efficient allocation of their time and resources.
– Project Tracking: Monitor the progress of various construction projects. Track and report deadlines, promptly informing relevant stakeholders of any delays or issues.
– Client Communication: Provide weekly updates to clients via email, maintaining clear and professional communication about project progress and milestones.
– Appointment Scheduling: Coordinate and schedule appointments, meetings, and site visits, ensuring efficient use of time and resources.
– Invoice Organization: Manage and organize invoices, ensuring accuracy and timely processing.
– Lead and Opportunity Management: Oversee the tracking and management of potential leads and opportunities, contributing to business growth and development.
– General Administrative Duties: Perform a range of administrative tasks including, but not limited to, document preparation, data entry, and office organization.

Qualifications:
Proven experience as an Executive Assistant or similar administrative role.
Exceptional organizational and time-management skills.
Strong communication and interpersonal abilities.
Proficiency in MS Office and other office management tools.
Ability to manage multiple tasks and priorities in a fast-paced environment.
High level of discretion and confidentiality.

Preferred but Not Required:
Experience in the construction industry is a plus but not mandatory.

We Offer:
10,000 – 20,000 PHP based on Skill Level and Experience
13/Month Bonus
