Job Summary:
We seek a highly organized and proactive Executive Assistant to support our dynamic Marketing team. The ideal candidate will be a reliable and resourceful individual with exceptional communication skills, a strong attention to detail, and the ability to handle various administrative tasks. This role will be critical in supporting our Marketing department’s day-to-day operations, ensuring efficient workflow, and contributing to achieving marketing goals. This position offers an excellent opportunity to gain valuable experience in marketing and customer relations within a fast-paced environment.
Responsibilities:
? Email and Correspondence: Monitor and manage various customer-facing email inboxes, draft responses as needed, flag urgent messages, and forward them to the necessary parties. Maintain professionalism and discretion in all communication.
? Special Projects: Assist in the research and execution of special projects, initiatives, or events as directed by Marketing Management. Assist in data gathering and monitoring.
? Confidentiality: Maintain the highest level of confidentiality regarding sensitive information and company matters.
? Managerial and Administrative Support: Provide administrative support to Marketing management and team members as required for various Marketing projects – including data entry, research, phone testing, and document preparation.
? Industry Research and Expert Communication: Conduct research to identify industry experts and opportunities to interview them and for their feedback on articles and content generated by the marketing team. Initiate and facilitate communication with these experts, scheduling interviews, and managing correspondence.
? Customer Outreach: Use strong communication skills to reach out to customers and potential customers, scheduling interviews, requesting reviews, and improving the customer experience wherever possible.
? Report Preparation and Maintenance: Prepare reports, summaries, and documents as required. Ensure accuracy and timeliness in report creation and maintain an organized system for reporting.
? Market Research: Conduct market research to identify potential leads and gather competitive intelligence.
? Adaptability: Be ready to tackle new challenges and adjust priorities as the needs of the team and the organization evolve.
? Content Development: Assist with the generation of marketing articles.
Requirements:
? 5+ years of proven experience.
? Proven Experience: Previous experience as an executive assistant or in a similar administrative role, preferably supporting C-suite executives.
? Exceptional organizational and multitasking abilities, with a keen eye for detail.
? Strong written and verbal communication skills, including professional phone and email etiquette. Past sales experience is a bonus.
? Knowledgeable in Google Workspace, Microsoft Office Suite (Outlook, Word, Excel), email management, project management software (i.e., , Wrike, Asana), and Social Media Platforms (Facebook primarily).
? Ability to maintain a high level of discretion and to handle confidential information with utmost sensitivity.
? A proactive mindset, with the ability to anticipate needs and solve problems independently.
? Effective time management skills and the ability to prioritize tasks efficiently.
? A professional demeanor and appearance, with a commitment to representing the organization in a positive light.
? A genuine interest in providing outstanding customer service and building positive client relationships.
? Ability to work collaboratively with a remote team and support colleagues in achieving common goals.
