We are offering a unique and exciting opportunity to work as an Executive Assistant – Online Admin Officer for our busy Director and team! Australian Immigration Specialists provide advice and handle visa applications based on updated Australian Immigration regulations. We love assisting people from all around the world to obtain temporary and permanent residency visas to live and work in Australia.
We are seeking an enthusiastic, driven and committed person to join our friendly team to provide high level Executive Assistant support including customer service and admin support. This is an opportunity to work work online during the day as per Sydney, Australia work hours, no ‘graveyard’ shift.
Duties include the following:
• Answer all incoming calls as first point of contact
• Handle all incoming emails as first point of contact including responding to clients and categorising emails for members of the team
• Interview specific callers where required to obtain required info
• Schedule call backs and formal meeting, consultation appointments with clients as per Executive availability
• Manage the company calendar
• Monitor and record incoming payments
• Monitor and respond to social media enquiries
• Provide other personal Admin and client support as requested by the Director

• Exceptional English communication skills – spoken, written, reading and listening
• Adopt a bubbly, bright and happy voice when liasing with callers and the team
• Attention to detail is essential, ability to look at and consider details re incoming enquiries to precisely understand the nature of each enquiry
• Take ownership, care and responsility for your specific duties
• Must be super organised and possess strong time management skills
• Must demonstrate the ability to be super switched-on, alert and focused
• Strong customer service skills, honesty and professionalism
• Highly driven, motivated and enthusiastic
• Ability to handle pressure and multi-task during busy periods
• Ability to understand the busy role of an Executive in order to provide the best support
• Initiative and critical thinking skills are essential in order to suggest ways to improve processes and analyse and resolve issues
• Strong computer literacy skills, familiarity and experience with Microsoft Office including Outlook, Word and Excel and strong typing speed
• Must be able to prove at least a few years of work experience in a similar role
• Must have a genuine and strong interest in working in this field and learning about different visa subclassess, requirements etc
