As we expand our operations, we are seeking an experienced Executive Assistant to join our team and play a crucial role in managing our daily operations and overseeing our warehouse goods in and goods out processes.
Job Summary:
As the Executive Assistant – Operations and Warehouse Management, you will provide comprehensive support to the executive team while also being responsible for effectively managing the flow of goods within our warehouse. This role requires exceptional organizational skills, attention to detail, and the ability to multitask efficiently in a fast-paced environment. You will be the key liaison between the executive team and warehouse staff, ensuring smooth operations and timely order fulfillment.
Responsibilities:
Support the executive team in their day-to-day activities, including scheduling meetings, coordinating travel arrangements, and managing calendars.
Act as a point of contact between the executive team and internal/external stakeholders, relaying messages, and responding to inquiries.
Monitor inventory levels and coordinate with warehouse staff to ensure accurate tracking of goods in and goods out.
Oversee the processing of incoming orders, ensuring timely order fulfillment and maintaining high levels of accuracy.
Collaborate with the operations team to develop and implement efficient warehouse procedures, optimizing workflow and productivity.
Conduct regular inventory audits to reconcile discrepancies and identify potential issues.
Coordinate with logistics partners to ensure smooth transportation and delivery of furniture items.
Assist in managing customer inquiries and providing excellent customer service, addressing concerns or issues promptly.
Prepare reports, presentations, and documents as required, maintaining confidentiality and accuracy.
Support other ad-hoc tasks and projects as assigned by the executive team.
Requirements:
Proven experience as an executive assistant or in a similar role, preferably within a fast-paced e-commerce or warehouse environment.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Excellent communication and interpersonal skills, with the ability to interact professionally at all levels.
Attention to detail and a high degree of accuracy in handling information and data.
Proficient in using google docs, sheets and other relevant software.
Familiarity with warehouse management systems (WMS / ERP) and inventory management tools is a plus.
Ability to adapt to changing priorities and work independently with minimal supervision.
Strong problem-solving skills and a proactive approach to resolving issues.
Knowledge of furniture industry and warehouse operations is desirable but not required.
