Job Description

What we’re looking for
We are a new and growing vacation rental management company at the beaches in New Jersey, looking for an Executive Assistant / Operations Manager.

The ideal candidate should be a highly organized self-starter with a positive, problem-solving attitude. This person is responsible for supporting the Owner of the company and for overseeing the day-to-day operations to ensure our guests and owners are happy and our short term rental properties are fully occupied and well maintained.

We are looking for someone who can make organizational changes, add structure & prepare to scale our operations. Your role will involve managing projects, coordinating schedules, providing executive-level assistance, and ensuring smooth customer support operations.

Skills you’ll need
Excellent English written and verbal communication skills
Highly organized, project management expertise
Hospitality or customer services background (vacation rentals or hotel operations is bonus)
Ability to work with an extremely fast paced growing company with aggressive growth goals

OFFICE OPERATIONS
Manage and coordinate the day-to-day operations of the vacation rental management business
Creation of new Standard Operating Procedures and workflows
Proactively identify opportunities to streamline and create more efficient workflows
Provide comprehensive administrative support, including calendar/schedule management, email management, travel arrangements, and other ad-hoc tasks
Very detail-oriented, meticulous, and thorough in your work, with the able to identify errors, leading to nearly perfect output
Manage weekly reservations, along with housekeeping & maintenance schedules to ensure properties are always ready for incoming guests
Find ways to increase traffic, including creation of blog posts, and sales funnels

GUEST SERVICES & COMMUNICATION
Correspond on a regular basis via email, text and phone with our team and guests, providing timely and helpful solutions.
Schedule & dispatch in-field team when necessary
Email marketing through past guest outreach
Manage social media accounts and create content for the company’s online presence
