The Role:
Business-related:
Top Priority:
– Calendar management (i.e. booking meetings, Zoom calls, appointments, etc.) and coordinating with leads and existing clients.
– Task management (making sure tasks get done or are prioritized and communicated)
– Inbox management and drafting responses to emails
– Tracking consulting calls and invoices in spreadsheets
– Assisting with different projects’ follow-up and continuity
– Perform basic reporting and data entry following procedure docs
– Expense Management (organize receipts for business expense reporting)
– Assist with small tactical doc prep and SOP creation (create and polish 1-pagers and small decks)
Lower priority:
– Take meeting notes and prepare dossiers for key meetings
– Daily agenda management (i.e. top-of-day email, daily prep for meetings, key task reminders, etc.)
– Contacts Management – organize and update your contacts so your network will grow more
Personal-related:
– Book doctor appointments
– Some shopping and refilling of personal/home items
– Travel and Events Management – flight, transportation, hotel accommodation/lodging, and other activities. Itinerary, check-in, cars, etc
– Sending Greetings/Gifts – sending greetings, hand-written cards, gifts, well wishes, or check-ins to anyone in your network, sending bday and anniversary messages and gifts on your behalf, sending thoughtful gifts to family/friends
The Requirements: MUST-HAVE:
– 2+ years experience supporting multiple executives / C-level teammates
– Intermediate Excel/Sheets experience (V/H Lookup, index match, basic formulas, etc)
– Exceptional written and verbal English communication skills
– Familiarity with GMail and Slack for internal comms
– Experience with Notion or similar tools for note-taking / basic project management
– Ability to work EST
NICE-TO-HAVE:
– Demonstrated experience solving problems with limited oversight
Job details:
Salary range: 45,000 – 65,000
Work Schedule: EST Night shift
