Role:

As the Executive Assistant at SaveLix, you will be the backbone of our daily operations, providing crucial support to ensure everything runs smoothly. You will manage customer service, handle the co-founder’s daily tasks, and support various administrative functions. Your role is vital in helping us achieve our mission of providing life-saving emergency preparedness products to our customers. Your organizational skills and attention to detail will directly contribute to our efficiency and customer satisfaction.

Responsibilities:

– Handle customer inquiries and resolve shipping issues, ensuring high levels of customer satisfaction.
– Organize and maintain business files and documents for easy accessibility and up-to-date records.
– Track and prioritize tasks in ClickUp, ensuring all deadlines are met and projects progress smoothly.
– Develop and maintain comprehensive standard operating procedures to streamline business operations.
– Compile and report business metrics and KPIs accurately and timely.
– Track and manage inventory levels to ensure stock availability.
– Schedule and organize team meetings for efficient use of time and resources.
– Handle employee payroll and time tracking accurately and timely.
– Manage payments for content creators and agents.
– Create and assign tasks to the team in ClickUp, ensuring clear communication and priority setting.
– Conduct necessary research to support various business functions.
– Provide administrative support, including managing calendars, scheduling appointments, and coordinating travel arrangements.
– Assist with preparation of reports, presentations, and correspondence.
– Support the co-founder with day-to-day tasks and special projects.

Requirements:

– At least 5 years of experience as an Executive Assistant.
– Minimum of 2 years of experience in the e-commerce industry.
– Proven expertise in using ClickUp for task management and project tracking.
– Excellent skills in using Slack for team communication and collaboration.
– More than 3 years of experience in customer service.
– Demonstrated experience and skills in project management.
– Strong research skills to support various business functions.
– Advanced skills in Google Sheets and Excel for data management and analysis.
– Proficiency in using Notion for note-taking, organizing information, and collaboration.
