Class Act Detroit is seeking a highly organized and detail-oriented individual to serve as a part-time contracted Executive Assistant/Project Coordinator. This role will provide administrative support to the Executive Director and manage the day-to-day operations of the organization. The ideal candidate will have excellent communication skills, the ability to multitask, and a passion for our mission of empowering youth through music and arts education.
RESPONSIBILITIES:
Executive Support:
Manage the Executive Director’s calendar, scheduling meetings and appointments
Prepare meeting materials, presentations, and reports as needed
Handle incoming calls, emails, and correspondence on behalf of the Executive Director
Coordinate travel arrangements and logistics for the Executive Director
Project Management:
Coordinate and oversee the implementation of various projects and initiatives
Develop and maintain project plans, timelines, and budgets
Collaborate with program staff, partners, and stakeholders to ensure successful project execution
Monitor project progress and provide regular updates to the Executive Director and relevant team members
Utilize a project management tool (e.g., Trello, Asana) to track tasks and deadlines
Administrative Support:
Maintain organized filing systems and records for the organization
Assist with the preparation of grant proposals, reports, and other documentation
Coordinate and support board meetings, including preparing agendas and taking meeting minutes
Manage office supplies and equipment inventory, placing orders as needed
Event Planning:
Coordinate logistics for events, workshops, and performances organized by Class Act Detroit
Secure venues, vendors, and necessary resources for successful event execution
Manage event registration and attendee communication
Ensure compliance with relevant policies and regulations
QUALIFICATIONS:
Minimum of 2-3 years of experience in administrative support or project coordination
Excellent written and verbal communication skills
Strong organizational and time management abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Familiarity with project management tools and techniques
Ability to multitask and work well under pressure
