Mission of Executive Assistant:
Your mission as an Executive Assistant is to be the COO’s essential support, streamlining operations for strategic growth. By efficiently managing communication, orchestrating key tasks, and overseeing data, you empower the COO to focus on driving growth initiatives. Your dedication to simplifying tasks and proactive support will play a pivotal role in our journey toward success and innovation in the logistics industry.
Your responsibilities include:
Email Management: Check and manage email correspondence on a regular basis.
Data Analysis and Reporting: Run weekly numbers and compile relevant data for decision-making.
Lead Management: Set up calls with leads to procure carriers, guiding them through the process.
Carrier Coordination: Send emails to carriers, arrange calls with the executive and sales reps for onboarding.
Call Support: Participate in calls, take detailed notes, and manage follow-ups.
Pricing Requests:
– Review and condense pricing data, utilizing specific criteria to identify qualified carriers.
– Utilize software to search for carriers and create templates for efficient communication.
– Prepare and send out pricing requests to carriers, simplifying the process for final approval.
Market Updates: Compile weekly market updates, including highlights, seasonalities, and relevant information.
Media Monitoring: Update executive on videos related to economics, stock market, and other relevant topics.
Meeting Representation: Occasionally attend internal meetings, providing updates and recaps to relevant team members.
Social Media Management: Overseeing and managing social media accounts or content.
Personal Administrative Support:

In your first 30 days on the job:
In your initial 30 days, anticipate daily meetings, subject to the COO’s schedule, for a swift and comprehensive onboarding. These sessions will focus on instilling our company values, clarifying organizational structures, and immersing you in your role’s particulars. We’ll address practical aspects, such as email management and project overviews, ensuring a smooth integration. This intense daily interaction aims to promptly resolve queries and optimize your workflow. As you grow more accustomed, we’ll transition to weekly meetings, striking a balance between ongoing collaboration and granting you the autonomy to excel in your responsibilities.
Qualifications:
Possesses good communication skills
Great English – written and orally
Strong understanding of ChatGPT technology
Preferred experience in building and managing datasets
Proven proficiency in Microsoft Excel
