Job Description: Construction Project Assistant

Position Overview:
We are seeking a detail-oriented and organized Construction Project Assistant to support our sales and management team in the construction field. As a Project Assistant, you will play a crucial role in ensuring the smooth execution of construction projects by completing quotes, budgets, estimates, project documents, and other administrative tasks. Your ability to multitask, meet deadlines, and maintain accurate records will contribute to the overall success of our construction operations.

Responsibilities:

Quotes, Budgets, and Estimates: Prepare and complete accurate quotes, budgets, and estimates for construction projects based on specifications provided by clients and project managers.
Project Documentation: Create and maintain project-related documents, including contracts, change orders, purchase orders, subcontractor agreements, and other necessary paperwork.
Cost Analysis: Conduct cost analysis and research to support the development of accurate quotes, budgets, and estimates. Collaborate with team members to ensure a comprehensive understanding of project requirements.
Vendor Coordination: Coordinate with vendors and suppliers to obtain pricing, availability, and other information necessary for accurate project cost estimation.
Data Entry and Reporting: Enter project-related data into internal systems and databases accurately and timely. Generate reports as needed to assist sales and management in decision-making processes.
Communication: Assist in facilitating communication between clients, project managers, sales teams, and subcontractors to ensure efficient project coordination and information flow.
Document Control: Manage and organize project documents, both physical and electronic, ensuring version control and accessibility for relevant stakeholders.
Administrative Support: Provide general administrative support to the sales and management team, including scheduling meetings, maintaining calendars, and handling correspondence.

Qualifications:

Previous experience in a similar role, preferably in the construction industry.
Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
Excellent organizational and time management skills to handle multiple tasks and meet deadlines.
Attention to detail and accuracy in completing quotes, budgets, estimates, and other project-related documents.
Strong communication skills to effectively interact with team members, clients, and vendors.
Knowledge of construction terminology, processes, and materials is desirable.
Familiarity with construction project management principles is advantageous.
The ability to use Quickbooks is a plus.
