Job Description

As the Executive Assistant to the owners, you will play a crucial role in ensuring the smooth operation of their day-to-day activities. This position requires a proactive, detail-oriented, and resourceful individual who can juggle multiple responsibilities and deadlines while maintaining a high level of professionalism and confidentiality.

**Key Responsibilities:**

1. **Calendar Management:**
– Coordinate and manage the busy schedules of the three owners, ensuring efficient time allocation.
– Schedule meetings, appointments, and conference calls, and proactively resolve scheduling conflicts.

2. **Email Management:**
– Monitor and organize the owners’ email inboxes, prioritizing and responding to messages as appropriate.
– Draft and prepare email responses on behalf of the owners, maintaining professionalism and attention to detail.

3. **Social Media Management:**
– Manage and update the owners’ social media accounts, including posting relevant content, responding to comments, and scheduling posts.
– Collaborate with the marketing team to ensure a consistent and engaging online presence.

4. **Operational Tasks:**
– Assist with various operational tasks, including but not limited to document preparation, data entry, and research.
– Coordinate with other departments to ensure projects are progressing smoothly and deadlines are met.

5. **Daily Check-Ins:**
– Conduct daily check-ins with the owners to review priorities, upcoming meetings, and urgent tasks.
– Prepare briefing materials and agendas for meetings as needed.

** Skills Needed: **

– Proficient in English with abilities to read, write, and proofread
– Social Media Management tools (hoot suite, social pilot, etc)
– LinkedIn Strategies
– Outlook Calendar Management
– Time Management
– Ability to get stuff done
– Ability to work 8a-5p EST

**Qualifications:**

– Proven experience as an executive assistant or in a similar role.
– Exceptional organizational and time management skills.
– Strong written and verbal communication skills.
– Proficiency in using office software and tools, including Microsoft Office Suite.
– Familiarity with social media platforms and management tools.
– Ability to handle sensitive and confidential information with discretion.
– A proactive and adaptable approach to problem-solving.
– High attention to detail and accuracy.
– Ability to work independently and collaborate effectively with a diverse team.
