Job Description

Stellar experienced executive assistant needed

We are a digital business with over 450 active and 8,500 prospect customers that operates from the US. We have a unique niche product that cannot be copied or replicated and that is highly effective. Our team currently has ~10 people and will grow over the next few months. The new CEO needs an experienced executive assistant who can help make his work more efficient by taking care of the tactical work and working with stakeholders so CEO can focus on the strategic aspects of the business and growth

The list below has the initial expectations and tasks you will have to perform:
– Work with head of sales to keep Facebook lead tracker updated;
– Maintain customer payment record up-to-date;
– Follow up with customers who have missed payments to capture payment;
– Validate weekly sales commissions numbers and send for payment;
– Help with freelancer hiring;
– Collaborate with stakeholders to create reports and presentations (sales, engagement, customer onboarding, etc);
– Plan business and personal trips (arrange flights, hotel, transfer, basic activity planning when needed);
– Collaborate with bookkeeper (gather asks, send receipts, follow up to ensure reports are timely sent, etc);
– Create sales material for secondary business;
– Execute post-sale process sequence for secondary business;
– Email management;
– Execute some personal assistant tasks (schedule appointments, book reservations, etc)

Job description will evolve accordingly to needs. You will receive adequate training to perform all tasks to satisfaction.

Requirements
– 5+ years of experience as an Executive Assistant
– Fluency in English
– Experience with Google Suite (gMail, gCalendar, gSheets, gDocs, gSlides)
– Understand how Facebook Groups work
– Work EST hours
