Job Description

We are seeking a highly organized, detail-oriented, and proactive Executive Business Partner to support our CEO and the Executive team. This role is instrumental in facilitating our executive team’s effectiveness by providing comprehensive administrative and strategic support. The ideal candidate will possess a high level of professionalism, confidentiality, and the ability to manage multiple priorities in a dynamic startup environment.

Things you’ll do:
Communication & Calendar Management: Serve as a key point of contact for internal and external stakeholders, managing correspondence and ensuring timely and clear communication. Efficiently manage and prioritize the executive team’s calendars, ensuring optimal allocation of their time on strategic initiatives and daily tasks.
Event Planning: Plan and coordinate corporate events, team off-sites, and other special projects, ensuring they align with company goals and culture.
Office Management: Oversee the daily operations of our Palo Alto HQ, ensuring a productive and positive work environment for the team.
Travel and Meeting Coordination: Arrange all aspects of travel and meetings, including itineraries, logistics, and materials preparation, to facilitate smooth and efficient engagements.
Project & Relationship Management: Build and maintain strong relationships with internal teams and external partners, acting as a representative of the executive team. Lead and support various projects, from planning through execution, aligning with strategic objectives and timelines.
Social Media Management: Oversee and enhance the executive team’s presence on social media platforms, coordinating content creation and engagement strategies to align with company branding and communication goals.
Recruiting & People Operations: Assist the people team on recruiting coordination, interview scheduling, new hire onboarding, offboarding, pulse surveys and more.

Things you’ll need:
Proven experience as an Executive Assistant, Events Coordinator, Office Manager, or similar role in a fast-paced environment.
Exceptional organizational skills and attention to detail.
“Can do” and “start with yes” positive attitude, eager to learn, highly collaborative.
Strong communication and interpersonal skills, with the ability to interact with stakeholders at all levels.
Ability to manage complex schedules and coordinate travel and events.
Proficient in Google Workspace, and project management tools.
Strategic thinker with the ability to handle confidential information with discretion.
Flexibility to adapt to changing priorities and new opportunities.
Experience with social media management and digital marketing tools is a plus.
Experience in HR operations and tools like Rippling and Greenhouse is a plus.
