Job Description

Special opportunity for a growth-minded and organized Executive Administrator to support serial entrepreneur / CEO with a variety of business and personal tasks. This is a long-term position that demands high productivity & positive energy to help sustain owner of multiple Home Improvement businesses.

This position is being created to optimize the time and sustain the energy of our leader. Your challenge is to organize the chaos!

Key Responsibilities:

– Email Inbox Ownership & Calendar Management: this will be a tough transition for him!
Filter incoming messages. Create prioritized email folder system. Serve as a key point of contact and liaison between the client, partners, and internal teams. Maintain confidentiality and discretion in handling sensitive information.
– Administrative Tasks: Schedule appointments, coordinate meetings, agendas, and events. Occasional travel arrangements. Facilitate communication within the organization and with external stakeholders. Assistance with personal tasks as well. Organize notes, files, & folders.
– Personal Brand Development: via social media management, increase engagement with Instagram audience and expand LinkedIn network via content creation. Collaborate with marketing teams to devise strategy and execute campaigns. CRM database updates and reporting.
– Monthly Reporting: Prepare and deliver regular reports on key metrics and activities. Compile and analyze data to identify trends and opportunities for improvement. Ensure accuracy and timeliness in reporting to facilitate decision-making.

Qualifications:

– Previous experience as a Chief of Staff, Project Coordinator, or Executive Assistant with US-based companies or clients is preferred.
– Shows strong initiative to proactively solve problems and add value.
– Effectively prioritizes activities and can handle a variety of tasks.
– Excellent English communication skills, both written and spoken.
– Incredible Attention to detail and thorough with understanding assignments.
– Good with numbers and data spreadsheets.
– Comfortable making outbound telephone calls.
– Confidentiality and discretion in handling sensitive information

Work Schedule & Setup:

– Preferred overlap with standard business hours during EST (Eastern Standard Time zone)
– Strong and stable internet connectivity.
– A consistent and well-organized workspace free from distractions and noise to facilitate focused work.
