Job Description

We seek a highly skilled and motivated Executive Assistant to provide exceptional administrative support to our CEO. The ideal candidate will have a proactive and self-motivated approach, strong attention to detail, exceptional time management skills, and excellent written and verbal communication abilities.

Responsibilities:

• Provide administrative assistance such as writing, editing, and preparing communications on the executive’s behalf.
• Organize meetings and events, including scheduling, preparing materials, and coordinating logistics.
• Take notes during meetings and debrief with the CEO, keeping track of deliverables and deadlines.
• Develop and maintain relationships with stakeholders by attending meetings and events on behalf of the CEO.
• Act as the primary point of contact between the CEO and external parties.
• Prioritize relationship-building with all stakeholders, including strategic gift-giving.
• Manage the CEO’s calendar, schedule daily activities appropriately, and prioritize sensitive matters.
• Coordinate all incoming requests for the executive’s attention.
• Participate in regular executive team meetings and attend industry events and tradeshows as needed.
• Seek and assess opportunities for events and meetings with third parties.
• Assist with other projects, ad-hoc tasks, and special requests from the CEO.
• Manage special projects assigned by the CEO.
• Track projects and deliverables throughout the company’s departments and with third parties working with the CEO.
• Ensure the CEO understands the status quo throughout the company’s departments, special projects, and all relationships.
• Manage email and phone communication for both the CEO and yourself.
• Manage tasks and priorities for both the CEO and yourself.
• Be available for important meetings and events that require the CEO’s attention, helping to prepare, manage relationships during the event, and debrief afterward.
• Schedule and track priorities/tasks daily using tools such as Notion, Salesforce, or similar software.
• Lead complex and new projects, connecting internally with the CEO and third parties to find solutions.
• Lead design and technical projects with the CEO’s goals for adoption, considering our vision for Design, Copy, and User Experience.
• Check in about deliverables and ensure we are on track for deadlines and expectations.
• Approach relationships, projects, and work with incredible attention to detail and importance.
• Ensure that we always act personable, kind, and professional and go the extra mile to ensure that details are not overlooked.

Qualifications and Skills:
• Bachelor’s degree or equivalent experience preferred
• 5+ years of professional experience working as an administrative assistant
• Proven time management and organizational skills
• Excellent verbal and written communication skills
• Proven ability to coordinate multiple tasks and projects with strict deadlines
• Resourcefulness and ability to take the initiative and work independently
• Keen problem-solving and decision-making abilities
• Strong attention to detail and sharp memory
• Ability to ask great questions
• Ability to remain calm and confident in difficult or exciting situations
• Strong interpersonal and communication skills
• Proficiency in Microsoft Office and Google Suite applications
• Willingness to learn a project management software or system and other administrative tools like Asana, BaseCamp, etc.
• Willingness to learn a customer relationship management (CRM) tool like Salesforce

We offer a full-time, PST-hours remote job, 40-hour workweek Mon-Fri, with excellent prospects for long-term growth for an ambitious international Executive Assistant. We can offer HMO and other benefits to Philippine candidates.
