We are seeking a highly organized and proactive Executive Assistant to support our operations and ensure the smooth running of our company.

Key Responsibilities:

Organization and Asset Management:
Organize and maintain company assets, including documents, templates, and digital resources.
Create and manage templates based on client and internal responses.
Ensure efficient workflow through various communication channels.

Community Engagement and Support:
Engage with the community of agency owners, providing support and fostering a collaborative environment.
Assist in the creation and management of a ticketing system to handle inquiries and support requests.

Client Support:
Serve as the first point of contact for inquiries from agency owners.
Manage email correspondence, ensuring timely responses and follow-ups.
Assist with client support, addressing their needs and ensuring satisfaction.
Prepare and distribute newsletters or updates to agency owners.

Project Management:
Assist with the management of ongoing projects, ensuring deadlines are met.
Coordinate tasks between team members and external vendors.
Monitor project timelines and budgets, providing updates to relevant stakeholders.

Event Planning and Coordination:
Organize and coordinate webinars, workshops, and mastermind events.
Handle logistics such as booking venues, arranging catering, and managing RSVPs.
Create event agendas and materials to ensure successful and engaging events.

Calendar and Opportunity Management:
Manage the executive’s calendar, including scheduling meetings and appointments.
Listen and pick up on important details to add to the agenda and set reminders.
Track opportunities and ensure timely follow-ups.

Social Media Management & Marketing
Coordinate partner spotlight, testimonials, case studies

Qualifications:
Proven experience as an Executive Assistant or similar role.
Excellent organizational and time-management skills.
Strong communication and interpersonal abilities.
Proficiency in Google Workspace and project management tools.
Ability to multitask and prioritize tasks effectively.
Detail-oriented with a proactive approach to problem-solving.
Experience in event planning and coordination is a plus.
