Overview
We are seeking an experienced, organized and detail-oriented Executive Assistant. The ideal candidate is an excellent communicator, problem solver, proactive, resourceful, and capable of managing multiple tasks with minimal supervision. As an Executive Assistant, you will be instrumental in facilitating the Executive’s peak performance by serving as their facilitator.

Responsibilities:
Manage and prioritize incoming communication, including emails, phone calls, and other correspondence
Coordinate and maintain the Executive’s calendars, scheduling appointments, meetings, and travel arrangements
Maintain a detailed to-do list of tasks assigned. Organize tasks based on deadlines and importance to ensure timely completion.

Prepare and edit documents, presentations, and reports for Executive to review
Anticipate needs and proactively identify opportunities to streamline processes and improve efficiency
Act as a liaison for Executive, maintaining professional and courteous communication at all times
Handle sensitive and confidential information with discretion and confidentiality
Conduct research and gather information as needed to support Executive’s decision-making

Requirements:
3 years of Executive Assistant experience preferred
Ability to work independently as well as part of a collaborative team
Proven experience as an executive assistant or similar role, preferably in a fast-paced environment
Exceptional organizational and time management skills, with the ability to prioritize tasks effectively
Strong communication skills, both written and verbal, with a professional and friendly demeanor

Applicants are expected to have a high level of spoken English clarity to effectively interact with our clients in the U.S.
Proficiency in Gmail, Google Drive and Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software
Ability to maintain confidentiality and handle sensitive information with discretion
Detail-oriented with a high level of accuracy and thoroughness in work
Flexibility and adaptability to changing priorities and deadlines
Positive attitude, proactive mindset, and willingness to take initiative

Work Hours:
9AM – 5PM Pacific standard time
Full or part time positions approximately 20-40 hours per week
Must be flexible on weekends
