We are seeking a highly organized and proactive Virtual Executive Assistant to provide administrative support to the CEO. The successful candidate will be responsible for managing the CEO’s inbox and calendar, as well as assisting with client invoicing, maintaining documentation, and creating Standard Operating Procedures (SOPs) to ensure all processes are documented and streamlined. This is a 100% remote position that requires excellent communication and time-management skills.
Key Responsibilities:
-Manage the CEO’s inbox and calendar, schedule appointments, and coordinate meetings.
-Draft and send emails on behalf of the CEO, ensuring timely and professional communication.
-Assist with client invoicing and maintain accurate financial records using QuickBooks Online.
-Create and maintain documentation for various projects and processes, including developing SOPs to ensure all procedures are standardized and streamlined.
-Conduct research and compile data as required to support the CEO’s decision-making processes.
-Prepare reports, presentations, and other materials as required.
-Act as a liaison between the CEO and other team members, external clients, and stakeholders.
-Undertake ad-hoc administrative tasks as required to support the CEO and the wider team.
Requirements:
-2+ years of experience as an Executive Assistant or similar role.
-Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
-Strong communication skills, both written and verbal, with a professional and friendly demeanor.
-Proficient in Microsoft Office Suite and experience with online tools such as Microsoft Teams, Zoom, Zapier, and GOHighlevel.
-Ability to work independently and remotely, with a strong work ethic and attention to detail.
-Experience in client invoicing and maintaining financial records using QuickBooks Online is preferred.
-Familiarity with creating and maintaining SOPs is a plus.
