We are seeking a highly organized and proactive Executive Assistant (EA) to join our team and provide exceptional support to our CEO. In this critical role, you will be the CEO’s right hand, ensuring their day-to-day operations run smoothly and efficiently. Beyond typical administrative duties, you will play a key part in project management, helping the CEO prioritize tasks, manage deadlines, and achieve maximum productivity.
Responsibilities:
Calendar & Schedule Management:
Manage the CEO’s calendar, prioritizing appointments, meetings, and travel arrangements.
Schedule meetings with internal and external stakeholders, ensuring all necessary attendees are confirmed and informed.
Proactively identify potential conflicts and suggest alternative scheduling options.
Project Management & Efficiency Focus (with emphasis on Gantt charts):
Partner with the CEO to define project goals, timelines, and resource allocation.
Break down large projects into actionable tasks and milestones, utilizing Gantt charts to represent project schedules visually.
Track project progress, identify roadblocks, and proactively develop solutions.
Prepare clear and concise status reports to inform the CEO of project health, highlighting any variances from the Gantt chart.
Identify opportunities to streamline the CEO’s workflow and eliminate time-consuming tasks.
Communication & Collaboration:
Draft and edit correspondence, presentations, and reports for the CEO.
Discretion & Confidentiality:
Maintain strict confidentiality regarding all CEO communications and business matters.
Demonstrate exceptional professionalism and discretion at all times.
Qualifications:
Minimum 2 years of experience as an Executive Assistant or similar role.
Must have a high-speed APM (Actions Per Minute) and WPM (Words Per Minute)
Experience and expertise with project management software, Asana is a must.
Proven experience with project management methodologies and tools, with a strong understanding of Gantt charts and their application in scheduling.
Excellent organizational, time management, and prioritization skills.
Strong communication, interpersonal, and diplomatic skills.
Ability to work independently and take initiative.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
