Job Description

We are seeking an experienced and highly organized Female Executive Assistant to support our busy CEO in day-to-day operations. The ideal candidate will have a proven track record of working with CEOs or higher boards, demonstrating exceptional communication skills, critical thinking, and assertiveness. The role involves managing various administrative tasks, handling vendor payments, utilizing QuickBooks, coordinating complex travel arrangements, and ensuring efficient calendar and email management. Additionally, the candidate should excel in scheduling, holding, hosting meetings, and taking detailed notes.

RESPONSIBILITIES:
1.) Communication and Coordination:
Effectively communicate on behalf of the CEO through phone calls and emails with internal and external stakeholders.
Coordinate and schedule meetings, ensuring the CEO’s calendar is organized and optimized.

2.) Financial Management:
Facilitate vendor payments using different platforms.
Utilize QuickBooks for financial tracking and reporting.

3.) Administrative Support
Manage and organize the CEO’s email, ensuring timely responses and prioritizing important messages.
Coordinate and schedule travel arrangements, both domestic and international.

4.) Meeting Management:
Schedule and organize meetings, both internal and external, ensuring all logistics are in place.
Host and facilitate virtual or in-person meetings, ensuring smooth proceedings.

5.) Note-Taking:
Attend meetings alongside the CEO, taking detailed notes and summarizing key action items.
Distribute meeting minutes and follow up on action items as needed.

6.) Technical Proficiency:
Proficient in using Google Suite and Gmail for efficient document management and collaboration.

7.) Work Schedule:
Adhere to a regular full-time schedule from 9 am to 5 pm EST, Monday to Friday.

8.) Problem Solving and Critical Thinking:
Ability to anticipate needs, think proactively, and prioritize tasks accordingly.
Exercise discretion and independent judgment in managing tasks and responsibilities.

REQUIREMENTS:
1.) Experience:
Proven experience working as an executive assistant supporting CEOs or high-level executives.

2.) Communication Skills:
Excellent written and verbal communication skills in English.
Ability to handle phone calls and emails professionally and assertively.
NO INTERNET INTERRUPTIONS

3.) Technical Skills:
Proficiency in using QuickBooks for financial management.
Expertise in Google Suite and Gmail for effective document management and collaboration.

4.) Organizational Skills:
Strong organizational and multitasking abilities to manage complex calendars, travel arrangements, and administrative tasks.

5.) Meeting Management Skills:
Experience in scheduling, hosting, and holding meetings, both virtually and in-person.
Proficient in taking accurate and comprehensive meeting notes.

6.) Proactive Nature:
Demonstrate proactive problem-solving skills and the ability to handle unforeseen challenges.

7.) Discretion:
Exercise a high level of discretion in handling sensitive information.
