Description:

We are seeking a highly motivated and organized individual to join our team as an executive assistant for the music industry. This position offers a unique opportunity to work in a fast-paced and dynamic environment, supporting senior executives in the music industry. The ideal candidate will have a passion for music, excellent organizational skills, and a strong attention to detail. This role requires a high level of professionalism, discretion, and the ability to handle confidential information with utmost care.

Responsibilities:
– Manage and maintain executive schedules, including scheduling and coordinating meetings, appointments, and travel arrangements
– Act as a pivotal point of contact between executives, employees, clients, and external partners.
– Prepare and distribute correspondence, reports, and presentations and flow of information ensuring accuracy and timeliness
– Prepare comprehensive reports on a weekly, monthly, or quarterly basis to aid decision-making processes.
– Format and draft various communications—memos, emails, presentations, and reports.
– Record meeting minutes and ensure vital action items are documented and followed up on.
– Screen and direct calls, manage correspondence, and uphold communication efficiency.
– Maintain an efficient and easily accessible online filing system.

Requirements:
– Bachelor’s degree in music, business, or a related field
– Proven experience as an executive assistant or similar role
– Strong knowledge and passion for the music industry
– Excellent written and verbal communication skills
– Proficient in MS Teams, Outlook, Drive and other relevant software
– Exceptional organizational skills and attention to detail
– Ability to multitask and prioritize tasks effectively
– Discretion and trustworthiness in dealing with confidential information
– Strong problem-solving and decision-making abilities
– Ability to work independently and as part of a team
– Flexibility to adapt to changing priorities and deadlines
– Professionalism and the ability to communicate effectively with individuals at all levels of the organization
