We are in need of a skilled Executive Assistant who is driven, autonomous, resourceful, hard-working, lightening fast and a quick learner.

We’re looking to add a talented, sincere, committed person to the team ASAP. You must be a self starter, a problem solver, and orderly. Your position will have strict deadlines to get stuff done, without over complicating things.

This is a fully remote full-time role requiring 40 hours per week. Pay is $1,300/month. Working hours are USA CST time zone: 5:00am – 1:00pm CST.
You will have PTO for all national and special Philippine holidays and American holidays.
In addition, once you successfully complete your four month probationary period, as long as you can satisfy your responsibilities, you will have unlimited paid time off.

There will be a four-month trial period on a graduated pay scale meaning you will start at $1,000/month, receive an additional $75/month and be able to receive full pay once you successfully complete your probationary period.

We’re an online small business that specializes in Facebook ads management, funnel analytics and business strategy for established course creators and online coaches.

Job Responsibilities::..
Your role, the Executive Assistant (referred to as “EA”) to Kwadwo is an exceptional position on the team where the team member works both directly with Kwadwo as their assistant AND works with all other team members. This role works closely with the business’ virtual assistant and ads managers as well but does not manage the VA or ads managers. This role reports directly to Kwadwo.

The EA is generally responsible for:

• coordinating Kwadwo’s calendar:
– managing Kwadwo’s inbox
– managing the client discovery funnel
– After clients submit an inquiry, making sure they get an appointment on Kwadwo’s calendar and that Kwadwo has time to review their inquiry before their Zoom meeting.

• Work with Kwadwo to make sure every non-CEO business responsibility is being handled by someone on the team

• Review Kwadwo’s administrative tasks to assist or take over when possible

• Carrying out the client onboarding process
– Creating and managing client contracts
– Emailing clients to ensure they have submitted everything and completed every step necessary for Kwadwo to manage their account, coach them on business strategy or deliver their data service
– Creating client spaces in Asana
– Doing EA tasks relating to the onboarding process
– Communicating and coordinate with Kwadwo, the virtual assistant and the copywriter to make sure they complete their responsibilities as pertain to the client onboarding process

• Carrying out clients’ new project setup
– Making sure clients have submitted everything and completed every step necessary so that Kwadwo can begin managing their campaigns
– Creating client project spaces in Asana

• Client account management in Honeybook
– Sending contracts and invoices to clients
– Maintaining/updating client funnels

• Setting up, maintaining and automating systems in the business
– Scheduling systems
– Onboarding systems
– Asana systems (client spaces, templates)

• SOPs
– Organizing business SOPs in a logical easy to understand way
– Overseeing SOP creation in the business
– Identifying SOPs that need to be created in the business and communicating them with Kwadwo
– for SOPs related to the EA’s areas of responsibility
– – Creating, maintaining and updating SOPs
– – Providing quality control for SOPs
– – Contacting responsible parties with specifics when an SOP is missing a step or is unclear to request an addition to the SOP video

• Manage Facebook Ads campaigns

• Train new members

• Answer questions from team members so that Kwadwo isn’t inundated in operations and client related questions

• Assisting with administrative/operations/client tasks in the business.

This is a role that requires daily check-ins with Kwadwo, daily checks of tasks & our project management tool, and daily interaction with Kwadwo’s inbox, calendar, and task list.

Basically, you’re THE integral part of the team’s daily operations, and your role is fundamental to continuing the growth of our business.

Requirements::..
• At least a basic understanding of Facebook Ads
• Work efficiently on inbox management and client communication all by yourself or with little assistance (we will provide the initial training)
• Complete tasks with excellence
• Finish tasks on or before assigned deadlines
• Be detail-oriented and super organized
• A resourceful problem solver
• Tech savvy + Google search literate (meaning you know your way around technology and can learn new things by Googling or watching YouTube videos.)

The owner Kwadwo, pronounced like [] has run multiple businesses since 2009. In 2018 he started Elementary Chinese, a business dedicated to helping expats in China learn how to learn Mandarin in their free time despite having a busy day job. Running Elementary Chinese taught Kwadwo all about online business marketing, sales, systems and managing a team. That experience led him to start the business you’re applying to.

In this business, Kwadwo manages ads for a number of clients which requires paying attention to the details and he needs you to do the same. Kwadwo also helps established online course creators and coaches create more profit while reducing their hustle. Kwadwo is an American residing in Mexico.

Our Tech Stack::..
Since you will need to work efficiently on assigned tasks all by yourself or with little assistance, ideally you will have working knowledge of a few products in our tech stack. If not, we will use screen recordings, an onboarding document and Zoom calls to explain what needs to be done and how to do it.

However you MUST be willing to use Google and YouTube to learn the software required for your job. Your professional development is important to the success of the business, and we will purchase courses for you 7when needed.

You need to be able to use our complete tech stack proficiently within your first five weeks of working with us.
