Flywheel Holding Company, based in Memphis, is seeking an Executive Assistant to the President & COS to play a pivotal role in ensuring effective communication, seamless scheduling, and timely task execution.

Key Responsibilities:

1. Communication Management:
President’s Communication Gateway: Screen and evaluate the urgency and relevance of all communications.
Response Drafting: Prepare draft responses for less critical communications.
Organized Archiving: Systematically categorize and archive communications for easy retrieval.
2. Meeting Management:
Preparation: Collaborate with internal teams or external stakeholders to set clear meeting agendas.
Minute Review: Extract and document all action items and responsibilities assigned during meetings.
Effectiveness Assessment: Solicit feedback from participants about the meeting’s effectiveness.
3. Scheduling and Time Management:
Overlap Monitoring: Ensure no overlapping commitments on the President’s calendar.
Priority-based Scheduling: Prioritize scheduling based on the President’s current focuses.
Personal Errand Planning: Integrate personal commitments into the schedule for a balanced approach.
4. Administrative Support:
Document Management: Establish and maintain a centralized system for organizing and storing essential business documents.
Expense Reporting: Keep a meticulous record of all business-related expenses incurred by the President.
Resource Allocation: Ensure the President has necessary access and understands how to use essential tools and software.
5. Confidentiality and Discretion:
Information Handling: Uphold strict privacy standards, ensuring sensitive data is handled with utmost discretion.
Decision-making: In the President’s absence, make informed decisions on his behalf.
Ad-Hoc Tasks and Projects: Undertake comprehensive research and coordinate with relevant departments for timely project completion.

Requirements:
Proven experience as an Executive Assistant or in a similar role.
Exceptional communication and organizational skills.
Ability to handle confidential information with discretion.
Proficient in office software and tools.
Flexibility and adaptability to dynamic schedules.
