Working Hours:
07:30 AM – 05:00 PM, Monday – Friday Central Time.

Responsibilities:
As an Online Remote Executive Assistant, you will play a crucial role in assisting our executives and supporting various administrative tasks. Your responsibilities will include, but are not limited to:

Assist with preparing and compiling reports for customers in collaboration with the executive team.
Maintain and organize driver files, ensuring all documentation is up-to-date and compliant with regulations.
Conduct daily research on competitors and industry trends to provide insights and keep the company informed.
Assist in improving the company website using Squarespace, focusing on enhancing user experience.
Schedule and coordinate interviews, as well as filter candidates for the outsourced team.
Attend and actively participate in Operations Zoom meetings to stay updated and contribute to discussions.
Track and organize bills for invoicing purposes, ensuring accuracy and timeliness.
Provide detailed insights and suggestions to management on ways to enhance media exposure and outreach.
Assist with compliance tasks, ensuring all company practices align with industry standards and regulations.
Organize and maintain accurate records and databases, ensuring attention to detail in all administrative tasks.
Prepare and distribute internal and external communications, ensuring clarity and professionalism.
Schedule and coordinate meetings and appointments, ensuring all participants are informed and prepared.
Monitor office supplies and handle any shortages or orders as needed.
Develop and implement office policies and procedures to improve efficiency and organization.
Support the executive team with any additional administrative tasks as required.
Skills:

We are seeking candidates with the following qualifications and skills:

Proven experience in an office assistant or relevant administrative role.
Proficiency in MS Office, as well as knowledge of OneDrive and Google Applications.
Familiarity with office equipment and technology.
Capability to consistently attend Zoom video meetings for collaboration and learning with the team.
Strong understanding of office management procedures and organizational skills.
Analytical abilities and aptitude for problem-solving.
Excellent written and verbal communication skills.
Proficiency in utilizing the following programs: Squarespace, Telegram App, Gmail and its applications, Adobe Photoshop, Facebook, Instagram, and LinkedIn.
