Job Description

Join Jeong X as a virtual assistant and play a pivotal role in our customer success team and overall business development team. Your main mission is to support the Owner of the ballet school with administrative tasks as well as communicate with leads and customers using GoHighLevel to help them move down the pipeline.

This role requires exceptional communication skills, the ability to build rapport and a deep understanding of human-to-human connection and influence in the digital space.

Reports directly to: Owner/CEO

### **ROLES, RESPONSIBILITIES, EXPECTATIONS**

### **1. CUSTOMER SUPPORT**

Responsibilities:

– Identify the needs of current and potential customers to help them have the best experience
– Engage in effective communication and dialogues via Instagram Direct Messages, Facebook Messenger, and Email.
– Tailor responses to prospects’ needs, showcasing our solutions.
– Quickly respond to DMs, maintaining a dynamic conversation with potential leads.
– Build and nurture relationships with prospects to establish trust and credibility.

SMART Expectations:

– Specific: Engage with customers and leads within 15 minutes of their interaction.
– Measurable: Conduct at least 10 targeted conversations per day with potential clients.
– Attainable: Achieve a conversation rate of at least 10% and a conversion to call rate of 30%.
– Realistic: Provide timely responses and follow-ups to all DMs and identify leads and customers.
– Timely: Follow up with different categories of leads (Warm, Nurture, Non-Booked) as specified.

### **2. TRACKING**

Responsibilities:

– Organize and track the progress of appointment setting using our CRM system
– Maintain a structured approach to managing prospects in different sales stages.
– Complete and submit a daily End of Day (EOD) form to track successes and habits.

### **3. ADMINISTRATIVE ASSISTANCE**

Responsibilities:
– Help the owner manage any administrative tasks to ensure she can focus on what she does best
– Organize and respond to emails of prospective customers

Requirements:
– Must have a strong internet connection with a speed of at least 50 Mbps
– Must have experience managing clients for a business for at least 1 year
– Fluent in English with strong written communication
– Willing to work in a fast-paced environment with an openness to change
– Must be able to work 10:00 to 8:00 PM New York Time
