Role: EA with bookkeeping background
Full-time, 9am-6pm EST
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to a C-level executive. The ideal candidate will be a master of time management and attention to detail, with the ability to manage a variety of tasks simultaneously. This role requires excellent communication skills and a strong understanding of US time zones.

Key Responsibilities:

Calendar Management:
Maintain and manage the executive’s calendar, ensuring efficient scheduling of meetings, appointments, and events.
Coordinate and book meetings and appointments, ensuring timely follow-ups and confirmations.
Travel Arrangements:
Handle all travel logistics including booking flights, hotels, and ground transportation.
Prepare detailed itineraries and ensure all travel arrangements are aligned with the executive’s preferences and schedule.
Account Setup Logistics:
Manage the setup of new accounts and ensure all necessary documentation is in place.
Organize and maintain account documents and files.
Document Management:
Schedule and organize documents and files, ensuring easy access and retrieval.
Maintain an organized filing system for both digital and physical documents.
Process Management:
Oversee due processes, standard operating procedures (SOPs), and repeated tasks to ensure efficiency and consistency.
Develop and implement process improvements as needed.
Special Projects: (one-off)
Collect W9 forms from contractors and manage 1099 documentation.
Handle one-off administrative tasks as required.
Communication:
Communicate with staff on behalf of the executive, requesting signatures and following up via templated emails.
Maintain professional and effective communication with all stakeholders.
Requirements/Must Haves:

Excellent Communication Skills: Strong verbal and written communication skills to interact effectively with internal and external stakeholders.
Attention to Detail: Meticulous attention to detail to ensure accuracy and completeness in all tasks.
Familiarity with US Time Zones: Ability to manage schedules and tasks across different US time zones.
Task Management and Time Management Skills: Proven ability to prioritize tasks, manage time effectively, and meet deadlines.
Follow Through Skills: Strong follow-through skills to ensure all tasks and projects are completed successfully.
Good to Have:

MailChimp Experience: Familiarity with MailChimp for managing and sending regular newsletters.
Accounts Receivable Experience: Experience in handling accounts receivable tasks.
Monthly Reconciliation of Accounts: Experience with QuickBooks Online (QBO) for monthly account reconciliation.
Qualifications:

Proven experience as an executive assistant or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Experience with task management software.
Strong organizational and multitasking skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Time management skills
