Job Description

We are a leading Hair Extension Company, providing one of the highest quality hair products, such as the human hair extensions for women. We are seeking a Virtual Assistant with experience in QuickBooks to join our team! You will perform clerical and administrative functions in order to drive company success.

Responsibilities:
– Provides secretarial/administrative support to the President and company management.
– Provides a bridge for smooth communication between the President’s and internal departments; demonstrating leadership to maintain credibility, trust and support with the team.
– Manage the President’s inbox, ensuring all duties are completed in a prioritized and organized way.
– Assists and supports the President in preparing for meetings, including preparing meeting materials, keeping track of meeting progress and follow-up items, and preparing and revising correspondence and other documents, as necessary.
– Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses.
– Generate and process weekly reports for all departments.
– Update Asana with department tasks as needed.
– Review expense reports, based on personal, office expenses and travel arrangements
– Assist with product and market research.
– Manage personal calendar and perform personal administrative tasks for CEO as needed
– Send Daily invoices and statements to clients
– Enter payments to QuickBooks
– Enter PO to systems
– Generate Inventory Reports and suggest PO.
– Place product orders as needed.
– Manage A/R & A/P.
– May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate.

Requirements:
– Must have at least two (2) years of office administration or other related fields experience
– Must have strong verbal and written communication in English
– Must have proficient experience using QuickBooks
– Must provide your own computer with 2 monitors, keyboard, mouse, and headset
– Proficient and tech savvy with software such as Google Suites (Ex: Google Sheets, Google Drive, etc.)
– Must be a quick and avid learner as additional applications will be taught for job functions.
– Be proactive while being able to effectively prioritize and multitask in a fast paced environment
– Excellent organizational skills and high attention to detail
