About the Role:
We are seeking a highly organized and proactive Executive Virtual Assistant to provide comprehensive administrative and operational support to our busy chiropractic clinic. As a key member of our team, you will be responsible for a wide range of tasks, working closely with the chiropractor and office manager to ensure the smooth operation of the practice.

Responsibilities:
1. Appointment Management:
– Schedule and confirm appointments via phone, email, and online booking system.
– Manage appointment cancellations and rescheduling efficiently.
– Coordinate appointment reminders and follow-up calls.
– Maintain accurate and up-to-date appointment calendar systems.

2. Patient Communication:
– Answer patient phone calls and inquiries professionally and courteously.
– Respond to patient emails promptly and accurately.
– Schedule consultations and new patient appointments.
– Assist patients with insurance pre-authorization and claims forms.

3. Administrative Tasks:
– Manage the chiropractor’s calendar and schedule meetings.
– Prepare documents and presentations as needed.
– Organize and maintain patient files and records (with HIPAA compliance).
– Process invoices and payments.
– Order and manage office supplies.

5. Marketing and Social Media
– Assist with social media management and content creation.
– Prepare marketing materials and manage email campaigns.
– Update website content as needed.

Other Duties:
– Proactively identify and solve problems.
– Stay informed about HIPAA regulations and privacy practices.
– Maintain a positive and professional attitude.
– Be adaptable and willing to learn new skills.

Qualifications:
– Excellent organizational and time management skills.
– Bookkeeping Expert
– Strong communication and interpersonal skills.
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
– Experience with appointment scheduling software and patient management systems preferred.
– Familiarity with HIPAA regulations and privacy practices a plus.
– Ability to work independently and take initiative.
– Detail-oriented and highly accurate.
– Positive and professional demeanor.
– Reliable and able to meet deadlines.
– Must be willing to work on client’s business hours (MST)
