We are seeking a highly organized and proactive Executive Assistant to join our team. The ideal candidate will possess excellent English communication skills, outstanding people skills, and proficiency in using the Google suite of tools and GoHighLevel. The Executive Assistant will play a crucial role in managing administrative tasks, coordinating with team members, and ensuring smooth day-to-day operations.
You are the perfect candidate for this position if you have excellent English (both written and verbal) and care about the customer experience in a deep way. You are HYPER organized and love following up with customers and making sure they are getting the best experience possible.
This position will be working directly with the CEO.
Key Qualifications:
– Scheduling and Calendar Management: Coordinate and manage the CEO’s schedule, including meetings, appointments, and onboarding tasks.
– Client Communication: Handle initial client communications, manage expectations, and guide clients through the onboarding process. Also act as the first point of contact for clients, providing exceptional customer service and addressing inquiries promptly.
– Client Onboarding: Ensure new clients are added to relevant platforms such as Facebook and WordPress, and assist with their initial setup.
– Document Preparation: Prepare and edit correspondence, communications, presentations, and other documents as needed.
– Research: Conduct research and compile data to support business initiatives.
– Social Media Management: Assist with managing social media accounts, utilizing Canva to create “new member intro” posts, responding to messages, and maintaining an organized content schedule.
– Data Management: Maintain and update records in Google Sheets and GoHighLevel, ensuring data accuracy and accessibility.
– Travel Arrangements: Organize and manage travel logistics for the CEO’s trips, including booking flights and accommodations.
– GoHighLevel CRM: Utilize GoHighLevel to manage client interactions and follow-up tasks.
– General Administrative Support: Provide support with email management, document preparation, and other administrative tasks as needed. Perform other administrative duties as required to support the CEO and the business. Coordinate with various team members and departments to ensure seamless operations.
Qualifications:
– Excellent English communication skills, both written and verbal.
– Excellent organizational and time management skills.
– Strong interpersonal and people skills.
– Proficiency in G-Suite and GoHighLevel.
– Ability to work independently and take initiative.
– Detail-oriented with the ability to multitask and prioritize effectively.
– Previous experience as an Executive Assistant or in a similar role is preferred.
– Familiarity with social media platforms and basic management is a plus.

Work Schedule:
– Full-time position.
– US Based
– Working hours are from 11 am-7 pm CST or 9 am-5 pm CST, depending on the needs of the business.
Compensation:
– Competitive hourly rate based on experience and qualification, but between 8-9 USD per hour.
Hiring Timeline:
– Immediate start is preferred.
