Job Description
We are looking for a highly organized and tech-savvy Executive Assistant with extensive experience in the digital marketing industry. The ideal candidate will provide high-level administrative support to our executive team, leveraging advanced technology and tools to enhance productivity, streamline operations, and contribute to our strategic goals. This role requires a detail-oriented, result-driven professional who thrives on multitasking and excels in managing new challenges with clarity and precision.
Key Responsibilities:
Advanced Administrative Support:
– Efficiently manage executive calendars, schedule meetings, and coordinate travel arrangements using digital tools.
– Prepare and edit documents, presentations, and reports with the advanced features of Microsoft Office Suite and other relevant software.
– Handle communication channels, including emails and video conferencing platforms, ensuring timely and effective responses.
Digital Marketing Savvy:
– Assist in coordinating and executing digital marketing campaigns, including social media, email marketing, and content marketing initiatives.
– Monitor and report on marketing campaign performance using analytics tools and dashboards, providing insights for optimization.
– Support the marketing team in managing content calendars and ensuring the timely delivery of marketing materials.
Project Management:
– Utilize project management software (e.g., ClickUp, Notion) to plan and execute company events, marketing campaigns, and special projects.
– Track project timelines and deliverables through collaborative platforms, ensuring all tasks are completed on schedule.
– Coordinate with cross-functional teams to ensure alignment and timely completion of marketing initiatives.
Tech Integration and Automation:
– Embrace new technologies and automation tools, such as Zapier and Go High Level to improve efficiency and productivity.
– Implement and maintain automated workflows to streamline repetitive tasks and processes.
Confidentiality and Data Security:
– Handle sensitive information with the highest level of confidentiality, using secure communication and data storage solutions.
– Ensure compliance with data protection regulations and company policies.

Email and Meeting Etiquette:
– Demonstrate excellent email etiquette by crafting clear, concise, and professional correspondence.
– Ensure prompt responses to emails and follow up on pending matters effectively.
– Display strong meeting etiquette, including timely preparation, punctuality, and active participation in discussions.
– Prepare agendas, take detailed notes, and distribute minutes promptly after meetings.
Qualifications:
Experience: A minimum of 3-5 years of experience as an executive assistant within the digital marketing industry.
Education: Bachelor’s degree in Business Administration, Marketing, or a related field preferred.
Skills:
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with advanced knowledge of digital tools and features.
– Expertise in using digital marketing tools (e.g., Google Analytics, HubSpot, Hootsuite).
– Familiarity with project management tools (e.g., ClickUp, Notion) and collaboration platforms (e.g., Slack, Microsoft Teams).
– Native-level English proficiency. Fluent in both written and verbal communication to effectively interact with US-based clients and team members.
– Ability to analyze data and generate reports and visualizations using analytics tools.
– High level of professionalism and interpersonal skills.
– Strong organizational and multitasking abilities with a focus on efficiency and automation.
– Eagerness to learn new tools and technologies, particularly automation software like Zapier and Go High Level.
– Attention to detail and precision in task completion.
– A result-driven mindset with the ability to manage multiple tasks and challenges simultaneously.
– Must be willing to work East Coast Hours (atleast in the morning).
– Must be willing to sign a confidentiality agreement.
