About the Client:

Our client is a fast-paced and dynamic company in the email marketing industry seeking a highly organized and detail-oriented Virtual Assistant (VA) to streamline their workday and optimize their communication channels.

Job Description:
In this exciting remote role, you’ll provide exceptional administrative and communication support, ensuring your client stays focused and informed.

You’ll utilize a variety of tools to manage their email, schedule, CRM integration, and client communication, creating a seamless workflow that empowers them to achieve peak productivity.

Job Tasks:
1. Filter and prioritize emails from various sources (Gmail, LinkedIn) to ensure only relevant messages reach your client via Slack.
2. Monitor client communication channels and alert them of important updates or replies requiring their attention (via Slack).
3. Maintain and update client timesheets within PSOhub.
4. Compile daily schedule briefings and ensure a dedicated work session precedes every client call.
5. Assist with cleaning up automated AI transcription notes and crafting post-call follow-up messages for clients.
6. Integrate Hubspot CRM into the client’s workflow to improve data management and accessibility (training provided).
7. Adept at using Google Workspace applications (Gmail, Docs, Sheets, etc.) and familiar with Slack for seamless communication.
8. Possess a working knowledge of password management tools like Dashlane.
9. Comfortable learning and adapting to new software and systems.

Qualifications:
1. Minimum of 1 year experience as a Virtual Assistant or similar administrative role.
2. Proven organizational skills with a keen eye for detail and a proactive approach.
3. Excellent communication and interpersonal skills to effectively manage client interactions.
4. Experience with project management tools and familiarity with CRM systems is a plus.
5. Working knowledge of Google Workspace and cloud-based applications.
6. Ability to learn and adapt to new technologies quickly.
7. Discretion and trustworthiness to handle confidential information and access client accounts (LinkedIn Premium).
