Part-time (20 hours/week to start, with potential for full-time)

We are seeking a motivated and detail-oriented Executive Assistant with experience in payroll, accounting, and policy development. As we are in the startup phase, we need someone who is versatile, proactive, and able to handle various administrative and operational tasks to ensure smooth business operations.

**Key Responsibilities:**
1. **Payroll Management:**
– Administer payroll processes including preparation, distribution, and management of payroll.
– Ensure compliance with local, state, and federal regulations.
– Handle employee inquiries regarding payroll and resolve any issues.

2. **Accounting:**
– Manage accounts payable and receivable.
– Maintain and reconcile general ledger accounts.
– Prepare financial reports and statements.
– Utilize QuickBooks for bookkeeping and accounting tasks.

3. **Policy Development:**
– Develop and implement company policies, including PTO, sick leave, and other HR policies.
– Ensure policies comply with legal standards and reflect company culture and values.
– Maintain and update policy documents as needed.

4. **Compliance:**
– Ensure the company adheres to all regulatory requirements.
– Assist with the preparation and submission of compliance reports.

5. **Administrative Support:**
– Type up forms, policies, and Standard Operating Procedures (SOPs).
– Provide administrative support to the executive team as needed.
– Handle other administrative tasks that may arise as the company grows.

6. **Other Duties:**
– Assist with various projects and tasks as required.
– Work collaboratively with different departments to support business operations.

**Qualifications:**
– Proven experience in payroll management and accounting.
– Proficiency in QuickBooks and Microsoft Office Suite.
– Strong understanding of HR policies and compliance regulations.
– Excellent organizational and multitasking abilities.
– Strong attention to detail and problem-solving skills.
– Exceptional communication and interpersonal skills.
– Ability to work independently and as part of a team.

**Preferred:**
– Experience in a startup or fast-paced environment.
– Knowledge of relevant legal and regulatory requirements.

**Work Schedule:**
– Initial part-time schedule of 20 hours per week.
– Flexible hours within the time frame of 9:30 AM – 5:30 PM EST.
– Potential for transition to full-time (9:30 AM – 5:30 PM) based on performance and business needs.
