SALARY RANGE: $7.00 to $12.00 per hour

Looking for an Executive level Virtual Assistant who will provide personal and property management support.

Job Description:

As an Executive Virtual Assistant specializing in property management, you will provide comprehensive administrative support to an executive who owns a portfolio of properties. Your primary responsibility will be to oversee and manage the day-to-day operations of the properties, ensuring they are well-maintained, financially viable, and compliant with regulations. You will work closely with the executive to optimize property performance, tenant satisfaction, and profitability. You will also manage personal affairs of the executive including including research, travel planning and reservations, appointments, and schedule and email management.

Qualifications:

College diploma.
5+ years proven experience as an executive assistant.
5+ years proven experience in property management, preferably with experience managing a portfolio of properties.
3+ years Experience with social media marketing
In-depth understanding of the entire MS Office suite and google suite products.
Professional level verbal and written communications skills with high English comprehension.
Proficiency with Rent Manager or other property management software.
Strong attention to detail and accuracy.
Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
Strong knowledge of property management principles, laws, regulations, and best practices.
High level of professionalism, integrity, and discretion in handling confidential information.
Strong financial acumen and familiarity with budgeting, financial reporting, and lease administration.
Ability to work independently and remotely, while also collaborating with a distributed team.
Flexibility and adaptability to handle changing priorities and work in a fast-paced environment.

Responsibilities:

Property Operations Management:
Oversee the day-to-day operations of the properties, including leasing, rent collection, maintenance, and repairs.
Collaborate with property managers, maintenance staff, and vendors to ensure properties are well-maintained and issues are promptly addressed.

Tenant Relations:
Act as the primary point of contact for tenants, addressing inquiries, concerns, and requests in a timely and professional manner.
Handle tenant lease agreements, renewals, and terminations, ensuring compliance with legal requirements.
Manage the tenant application and screening process, conducting background checks and verifying references.

Financial Management:
Assist in the preparation and management of property budgets, ensuring optimal financial performance.
Monitor rent payments, initiate collection procedures for delinquent accounts, and handle financial reporting.

Lease and Contract Administration:
Draft, review, and negotiate lease agreements, ensuring compliance with legal and regulatory standards.
Maintain lease documentation, track critical dates, and communicate lease-related information to relevant parties.
Coordinate with legal counsel, as needed, to address lease disputes or other legal matters.

Property Marketing and Tenant Acquisition:
Develop and implement marketing strategies to attract prospective tenants and maximize property occupancy.
Create compelling property listings, manage online advertising platforms, and conduct property showings.
Screen tenant applications, conduct interviews, and facilitate the selection process.

Vendor and Supplier Management:
Source and evaluate vendors and suppliers for property maintenance, repairs, and other services.
Negotiate contracts, review proposals, and ensure timely delivery of services.
Monitor vendor performance and resolve any issues or disputes that may arise.

Reporting and Analysis:
Prepare regular reports on property performance, including financial statements, occupancy rates, and maintenance activities.
Analyze data and key performance indicators to identify trends, opportunities, and areas for improvement.
Provide recommendations and strategies to enhance property profitability and tenant satisfaction.
