Job Description
We are seeking a highly organized and proactive Executive Assistant with extensive experience in the recruiting and staffing industry. The ideal candidate will provide high-level administrative support to our executive team, utilizing advanced technology and tools to enhance productivity and streamline operations contributing to our strategic goals.
Core Responsibilities:
Advanced Administrative Support:
– Utilize digital tools for managing executive calendars, scheduling meetings, and coordinating travel arrangements.
– Prepare and edit digital documents, presentations, and reports using advanced features of Microsoft Office Suite and other software.
– Manage communication channels, including emails and video conferencing platforms, ensuring timely and effective responses.
Tech-Driven Recruiting and Staffing Support:
– Assist in the coordination and execution of recruiting activities using applicant tracking systems (ATS) and other recruiting software.
– Leverage data analytics tools to track and report on recruitment metrics and performance.
– Automate routine tasks and processes to improve efficiency in candidate sourcing, screening, and interview scheduling.
Project Management with Technology Integration:
– Use project management software (e.g., ClickUp) to plan and execute company events, meetings, and special projects.
– Monitor project timelines and deliverables through collaborative platforms, ensuring all tasks are completed on schedule.
Confidentiality and Data Security:
– Handle sensitive information with the highest level of confidentiality, utilizing secure communication and data storage solutions.
– Ensure compliance with data protection regulations and company policies.
Qualifications:
– Experience: Minimum of 3-5 years of experience as an executive assistant within the recruiting and staffing industry.
– Education: Bachelor’s degree in Business Administration, Human Resources, or a related field preferred.
Skills:
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with advanced knowledge of digital tools and features.
– Expertise in using applicant tracking systems (ATS) and other recruiting software.
– Familiarity with project management tools (e.g., ClickUp) and collaboration platforms (e.g., Slack, Microsoft Teams).
– Fluent in English. Strong written and verbal communication skills with an emphasis on digital communication.
– Ability to analyze data and generate reports and visualizations using analytics tools.
– High level of professionalism and interpersonal skills.
– Strong organizational and multitasking abilities with a focus on efficiency and automation.
– Must be willing to work East Coast Hours.
– Must be willing to sign a confidentiality agreement.
