Job Description

This Executive Assistant will work on behalf of 2 executives.
This person MUST be incredibly organized, very efficient with technology, and must have their own methods and ideas to keep the executives on track.
The role of EA is to free the executive’s time from organizing and administrative tasks so that they can spend maximum time on strategic tasks. We require someone who is an expert in designing and implementing systems.
The companies are in the Real Estate, property management, and Home Renovations industries.
This role will be for 2 hours per day.

Skills & Qualifications:
Fluent in spoken and written English
Fluency in software such as google workspace, and project management software.
Multi-tasking and prioritization skills
Exceptional attention to detail
Video Editing Skills
Communication and interpersonal skills
Ability to conduct research and problem solve
Time management
Ability to learn quickly
Ability to handle sensitive information with discretion
Basic computer and office administrative skills
Ability to be flexible within the scheduled day
Have expertise in implementing systems

Responsibilities will include:

Acting as office admin for the virtual office.
Acting as a first point of contact: dealing with correspondence and phone calls
Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
Booking and arranging travel, transport, and accommodation
Organizing events and conferences
Reminding the manager/executive of important tasks and deadlines
Typing, compiling, and preparing reports, presentations, and correspondence
Managing databases and filing systems
Implementing and maintaining procedures/administrative systems
Liaising with staff, suppliers, and clients
Collating and filing expenses
Editing basic captions and videos
Research
Write emails
Book calendar appts
Order groceries
Be on phone calls to take notes
Organize home and car maintenance
Arrange and book travel
Book reservations
Doing research
Keeping family schedule (doctor, massage, hair, home cleaners)
Send personalized news and information on relevant topics
