Job Details:

As Executive & Personal Assistant, you play a critical role in supporting the success of the CEO by providing high-level administrative and support services to the Executive, including managing their schedule, communications, and projects. Your ability to work independently, think critically, and maintain a high degree of organization will be essential in helping our leaders stay focused on strategic priorities. The ideal candidate will be a highly organized, efficient, and discreet individual with excellent communication and interpersonal skills.

This is a unique REMOTE opportunity for a highly skilled professional who thrives in a fast-paced, ever-evolving environment. This is a REMOTE CONTRACTOR role, requiring a good internet connection (at least 50MBps), your own workstation, a smartphone with data, and schedule flexibility including the possibility of weekend work when needed.

Workhours: ~10pm-3am Manila Time + 2-3 hours whenever (you decide; can include checking things on the weekend or not)

Phone calls: This is required and will have to speak/coordinate with US phone calls (we will provide a VOIP phoneline/App)

There is no formal onboarding. You can expect lots of random work and follow-up in all sorts of different areas of business and personal tasks. This job will be high in accountability and uncomfortable conversion/follow-up with people (not in a mean way; open & honest is our way of operating).

Key Responsibilities:
1. Pseudo Chief of Staff / Operator (to Internal Team Members – C-Suite & Mid Level Managers) – 50%

Management and Oversight: They oversee projects and initiatives from development through successful execution (mostly by following up with key stakeholders).
Liaison Role: Serves as a liaison between the leader and other staff members or stakeholders, ensuring clear communication and effective execution of projects.
Process Documenter: Maintain meticulous records and understand how to use processes to enhance efficiency
Maintain a document of the executive’s preferences
Update the executive’s process
Follow up with other department leaders to ensure the process is updated (following up)
Note Taker & Follow Up: In group discussions or tasks assigned, take notes and follow up with the implementer to ensure done
You are expected to ask for clarification if you are not clear or need more context so you can better answer/follow up on any issues
When needed, hire your assistant to your role (most likely in the personal aspect so you can focus more on the executive CEO part)

2. Personal AND Executive Scheduling, Communications, and Coordination – 30%

Scheduling: Proactively manage and prioritize executive and personal calendars, emails, and daily tasks without constant supervision, ensuring seamless operations.
CEO is traveling on a weekly basis and planning out the day/week is a LARGE PART of the job.
Communications: You will 100% manage the CEO’s email. You will provide a daily brief to the CEO after prioritizing the level of importance in tasks after routing/delegating/responding to tasks that doesn’t require the CEO’s input.
Be discrete: Handle information with the utmost discretion and maintain confidentiality at all times.
Coordination: Adapt to changing priorities and handle a wide range of tasks, including coordinating complex travel itineraries, day-to-day planning, coordinating, following up, and delegating tasks to the right people, as well as preparing paperwork, presentations, and reports.

3. Research & Execution (Mostly Personal Tasks) – 20%
Take care of the day-to-day CEO personal tasks: Assist the executive with a variety of personal tasks so the CEO can focus on the important thing that needs to be done.
Example: paying bills, negotiating/calling around vendors on best price/value, moving schedule around, making reservations, selecting/ordering food for delivery, placing grocery orders for delivery (literally the day-to-day activities)
Maintain a daily activity report
Research on a variety of topics: provide concise and informative notes/information about the research topic.
Example: YouTube video on some topic, information about a new city or area, competitor information, to information about homeschooling approaches

Requirements:

Education:
Associate’s or equivalent

Experience:
11-15 years of relevant experience

Management:
3-5 years experience, 3 years of which as a First Line Manager

Scope of Control:
Has control over a team’s work

Impact:
Jobs at this level have a direct impact on the performance of an entire department. These jobs typically require strategic thinking and decision-making skills, and the incumbent is responsible for setting departmental goals, allocating resources, and ensuring that the department is meeting its objectives. (Senior roles)

Degree of Technical Skills:
Has good working and background knowledge of the area of practice.
Can complete tasks independently with little guidance.

Degree of Problem Solving:

Individuals at this level are able to identify and solve problems that have already occurred. They can use basic problem-solving skills to identify the root cause of a problem and develop a solution.

Tasks are more complex and require some problem-solving skills.
There is some ambiguity or uncertainty involved in completing the tasks.
The tasks require more specialized skills and knowledge.
The tasks can be completed in a reasonable amount of time.

Hardware Required:
This level of hardware is sufficient for basic tasks such as web browsing, email, and word processing.
The hardware requirements for this level are relatively low, and a basic computer or laptop will be sufficient.

Preferred Qualifications:
Operational Manager (experience managing and following up with managers – NOTE this is different than front line worker or vendors or customer).
Ability to understand financials
EOS knowledge/experience
Scrum Certified
6-Sigma Certified
MBA

Interview Process
The interview process is all initially at your pace. We only do in-person interviews in the final step. We will initially ask yes/no & numeric questions to verify your relevant experience.
We will ask you to list our your key responsibilities from our previous companies
We will then ask you to demonstrate from past responsibilities to support your list of key responsibilities and success metrics.
Then we will select a few applicants to do a paid trial task (we will provide actual problems/issue we face that you will try to resolve).
Lastly, we will do a final in-person interview (at this point, you would most likely have passed most of the job competency and experience assessment and this is a job/culture fit + opportunity for you to ask/understand us better).
