Job Overview:
We are looking for an experienced and proactive Executive Personal Assistant to work closely with our CEO and Marketing Lead, providing comprehensive administrative support and managing a variety of tasks and responsibilities. The ideal candidate will be an excellent communicator, highly organized, detail-oriented, and capable of handling confidential information with the utmost discretion. This role requires exceptional time management skills, a strong sense of initiative, and the ability to anticipate needs and take proactive action.
Responsibilities:
Act as the CEO and Marketing Lead’s primary point of contact, efficiently managing their calendar, schedule, and appointments, ensuring effective time allocation and prioritization.
Arrange and coordinate domestic and international travel itineraries, including flights, accommodations, visas, and transportation, ensuring a smooth and efficient travel experience.
Prepare and review various reports, presentations, and documents for internal and external communications, ensuring accuracy, professionalism, and adherence to deadlines.
Conduct research and gather information on various topics, compiling data and creating summaries for the CEO’s review and decision-making process.
Assist in managing email correspondence, drafting responses, and screening and redirecting inquiries to appropriate team members when necessary.
Support the CEO and Marketing Lead in organizing and attending meetings, conferences, and events, taking meeting minutes, and following up on action items.
Manage confidential and sensitive information with the highest level of professionalism and discretion.
Collaborate with other executives and departments to facilitate effective communication and coordination across the organization.
Handle ad hoc tasks and special projects as assigned by the CEO, demonstrating flexibility and adaptability in a fast-paced environment.
Qualifications:
Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.
Exceptional organizational and multitasking abilities, with a keen eye for detail and a proactive approach to problem-solving.
Excellent verbal and written communication skills, with the ability to interact effectively with individuals at all levels, both internally and externally.
Proficient in using productivity tools such as Microsoft Office Suite, Google Suite, and project management software.
Demonstrated ability to handle confidential information with discretion and maintain the highest level of professionalism.
Strong time management skills, with the ability to prioritize and manage multiple tasks simultaneously.
Familiarity with sustainability and environmental initiatives is a plus.
