Job Description

I’m looking for an executive assistant who can help me manage my business as well as help me grow a new real estate start up company. Real estate experience, knowledge including management experience is required. You will be working closely with me to help me grow, train and manage a team to handle real estate transactions.

This will be a great opportunity for someone to grow with the company as my plan is to expand and hire more team members as the business grows. I currently have a team in the Philippines that I currently work with so you will be working with this team to develop systems while supporting my existing real estate business.

I will train you to know everything I know but I’m looking for someone who has some foundational understanding and experience working in real estate in North America. If you do not have any experience your application will be rejected.

Initially you will be doing everything but we will develop systems, automations and have current and future team members take over these duties and responsibilities from you. I believe that leaders must have an understanding of what their team members do and be proficient at their tasks. Duties and responsibilities include but are not limited to the following:

Management
– Creating job descriptions
– Posting jobs to hire new staff
– Interviewing and hiring staff to support business operations
– Training staff to become competent at their tasks

Communication
– Continue education to improve communication ability.
– Set showing appointments for clients for agents
– Set appointments for clients
– Monitor emails
– Respond to emails
– Forward important emails to the team leader
– Forward emails to team members
– Delete unnecessary emails
– File important emails and documents
– Contact clients and communicate with them
– Reference checks for tenants
– Communicate with agents for feedback and information
– Contact other administrators related to deals
– Commission follow up
– Forward important calls to team leader
– Prepare documents to mail out
– Send mail documents to team member to send out hard copies
– Whatsapp
– Communicate with clients
– Communicate with agents

Organization
– Create internal systems to streamline processes within the organization
– Create efficiencies in work to do things faster and more accurately
– Filing – Google Drive
– Organization and filing of documents
– Naming convention
– Deal processing
– Sending documents to head office for processing
– Obtaining missing documents and files from agent and clients
– Inputting information into systems
– Follow daily task list to ensure that all tasks are completed

Software Systems

– Prepare Agreement of Purchase and Sales, Listing Agreements, MLS Data Sheets
– Uploading MLS Listings
– Review deal sheets and input into spreadsheet/system
