Hiring: Executive Sales Assistant – Remote – $9,600 – $12,000 /yr
Full time, 7:30 AM to 4:30 PM, EST time zone
* Prior experience working with an offshore client is REQUIRED for this role.
As the Executive Assistant, your mission is to play a pivotal role in supporting the agency’s growth, enhancing productivity, and managing the CEO’s time effectively. Your primary goal is to alleviate most of the workload from the CEO, allowing them to focus on strategic aspects of the business. Your impact will be crucial in refining and adapting standard operating procedures to meet the evolving needs and priorities within the marketing agency.
Your responsibilities include:
Email and Communication Management:
– Prioritize incoming emails and communications.
– Draft, review, and respond to emails on behalf of the agency owner.
– Maintain organized email inboxes for the agency owner.
Calendar Management:
– Maintain and organize the agency owner’s business & personal calendar.
– Schedule meetings, calls, and appointments e?ciently.
– Avoid con?icts and optimize the agency owner’s schedule.
Meeting Preparation:
– Prepare meeting agendas and gather relevant documents.
– Coordinate logistics for internal and external meetings.
– Attend Zoom meetings, take notes, and follow up on action items.
Task Prioritization:
– Assist the agency owner in prioritizing tasks and managing his to-do lists.
– Ensure that high-priority tasks align with the agency owner’s strategic objectives.
Client Relations:
– Support the maintenance of strong client relationships.
– Coordinate client meetings and communications.
– Handle client requests and inquiries as appropriate.
Administrative Support:
– Perform various administrative tasks, including creating contracts after or before a sales call. Data entry, and document organization.
– Handle invoices and some ?nancial paperwork.
Qualifications:
– Possesses strong English communication skills, both written and oral
– Proven experience as a high-level Executive Assistant or in a similar role supporting C-level executives.
– Tech Stack: ClickUp, GoHighlevel. Slack, Zoom, Gmail, Google Calendar, Calendly
– Excellent listening skills.
