We are seeking an accomplished Executive Support Specialist to join our dynamic team. In this pivotal role, you will serve as the right hand to our CEO, ensuring their day-to-day operations run smoothly. As the Executive Support Specialist, you will report directly to the CEO and act as a primary liaison between our organization and various internal and external stakeholders.
Key Responsibilities:
1. Strategic Calendar Management:
– Skillfully coordinate and manage the CEO’s schedule, optimizing time allocation and prioritizing appointments and meetings.
– Effortlessly schedule and confirm appointments, meetings, and conference calls while also making necessary travel arrangements as required.
– Provide proactive reminders and prepare materials for upcoming events and commitments.
2. Efficient Communications Management:
– Manage inbound and outbound communications, encompassing phone calls, emails, and correspondence.
– Create, edit, and proofread documents, including letters, reports, and presentations.
3. Expert Travel Management:
– Expertly book and oversee all travel arrangements, ensuring seamless trips for the CEO.
4. Comprehensive Administrative Support:
– Maintain electronic and physical files in an organized manner, ensuring easy retrieval and accessibility.
Offer valuable assistance in the preparation of reports, spreadsheets, and presentations as needed.
5. Project Management Excellence:
– Collaborate with the CEO in planning, executing, and monitoring various projects and initiatives.
– Conduct thorough research and compile relevant information to support decision-making.
– Vigilantly monitor project progress, providing regular updates to the CEO and addressing potential issues as they arise.
6. Event Planning and Coordination:
– Play a pivotal role in planning and coordinating events, including meetings, conferences, and social gatherings.
– Skillfully manage guest lists, invitations, and RSVPs to guarantee a flawless event experience.
7. Personal Assistance:
– Provide invaluable support for personal tasks and errands to help the CEO maintain a healthy work-life balance.
– Coordinate personal appointments and engagements, including medical appointments, social events, and family commitments.
Qualifications:
– A minimum of 3 years of experience in an executive assistant, personal assistant, or similar administrative role.
– Exceptional organizational skills, adept at managing multiple tasks and priorities in a high-paced environment.
– Outstanding verbal and written communication skills, with the ability to effectively engage with diverse stakeholders.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other relevant software applications.
– Demonstrated discretion and professionalism when handling confidential information.
– A proactive problem-solving approach and the ability to work independently with minimal supervision.
– Meticulous attention to detail and an unwavering commitment to accuracy in all tasks.
– A flexible and adaptable attitude, coupled with a willingness to embrace new challenges and acquire new skills.
Work Schedule and Compensation:
Part-Time Excellence: 20 hours per week.
Competitive Compensation: Hourly rate of $5.
Working Hours: 9:30 am to 1:30 pm
Time Zone: EST (Eastern Standard Time)
