Main Role:
EXECUTIVE VA focusing on reports and routinely output
*other task that maybe assigned from time to time.*
Work / Business / Personal
– Monitors personal and business finances, and preparation of reports such as but not limited to:
*monitoring sheet on Credit card usage
*reimbursements
*project expenses
*inventory
*time plan
*timekeeping of house staff
– Monitors personal and business projects for cost efficiency measures. These various projects include house re-modeling with some specific tasks such as but not limited to:
*monitoring purchases and supplies
*negotiating terms with suppliers
*preparation of reports on expenses
*request for quotations
*placement of order
*payment processing
*inventory checklist
*project timeline
*delivery schedule
*warranties
*return/replacement policy
*refund entitlement
– Organizes travel plans and handles all the trip-related reservations – flight schedule/hotel arrangements/car rentals/itineraries
– Maintains executive’s agenda and assist in planning appointments, board meetings, conferences etc.
– Attend meetings and keep minutes (as advised)
– Maintains electronic records ensuring information is organized and easily accessible
– Conduct research and prepare presentations or reports as assigned
– Other tasks that may be assigned from time to time.
Work Schedule:
8:00 a.m. to 5:00 p.m. EST.(but needs to take action/reply whenever needed through out the day)
*Qualifications:
Minimum 3 years of related experience aa Executive Asst.
Bachelor’s degree in Accounting required
Healthcare, Optical or Ophthalmology environment experience preferred
Real Estate accounting experience preferred
Accounting background is a plus
Has to be familiar with Apple Gadgets
Has to be familiar with Microsoft Office 365 – all the important / basic apps
Fast Learner
Skills and Abilities:
Ability to independently analyze detailed information and compile standard and non-standard reports
Understanding of strong internal control systems, ability to make recommendations for improvements, carry out changes and monitor the internal control systems
Ability to communicate effectively with senior management, interdepartmentally and externally with vendors, customers, financial institutions, auditors, and others
Proficient in Excel
Working knowledge of other Microsoft-based software (Word, PowerPoint, Excel)
