**Position Overview:**
We are seeking a highly organized and proactive Executive Virtual Administrative Assistant to support our executive team remotely. The ideal candidate will have strong communication skills, excellent attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of executive activities and contributing to the overall efficiency of our firm
**Key Responsibilities:**
Administrative Support
Manage and maintain the executive’s virtual calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle confidential information with discretion and maintain a high level of confidentiality.
Keep the CRM up to date and assist with further build out for automation
**Communication:**
Serve as the primary point of contact between the executive and Office Managers and Bookkeepers.
Screen and prioritize incoming communications, including emails, phone calls, and virtual meetings.
Draft and distribute communications on behalf of the executive.
**Meeting Coordination:**
Organize and coordinate virtual meetings, including preparing agendas, materials, and meeting minutes.
Attend Zoom calls and document meeting notes
Ensure follow-up actions from meetings are tracked and completed
**Project Management:**
Assist in the planning and execution of special projects and initiatives.
Conduct research and compile data to support executive decision-making.
**Technical Support:**
Utilize accounting software (QuickBooks Online) and other relevant technology to support the executive’s activities.
Troubleshoot basic technical issues and liaise with IT support as needed.
Implement new software, create training opportunities for staff in learning new software.
**Document Management:**
Manage electronic filing systems and ensure that all documents are properly organized and accessible.
Handle document preparation and formatting, ensuring accuracy and compliance with firm standards.
Assist with Onboarding Coordinator for Client Document distribution.
**Client Interaction:**
Coordinate virtual client meetings and maintain client communication records.
Provide high-quality customer service to clients, addressing inquiries promptly and professionally.
**Qualifications:**
Bachelor’s degree in Business Administration, Accounting, or a related field preferred.
**Experience:**
Minimum of [3-5] years of experience in an administrative support role, preferably in an accounting or financial services firm.
Experience working remotely is a must.
**Skills:**
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and accounting software (e.g., QuickBooks Online).
Ability to work independently and manage time effectively in a remote environment.
High degree of professionalism and interpersonal skills.
Strong problem-solving abilities and attention to detail.
**Work Environment:**
Fully remote position with full time hours. (7pm to 3am Philippine time)
Availability to support the executive’s schedule, which is based on the US Eastern time Zone.
Reliable internet connection and suitable home office setup.
Competitive salary based on experience and qualifications. $800 – $1000 per month with a 60 day review and opportunity for Growth
