We are seeking a dynamic, high-energy, and organized Executive Virtual Assistant to support the Sales Account Executive and the CEO of our fast-paced Instagram Marketing Agency. The ideal candidate will have project management expertise, superior organizational skills, and a proactive attitude. They should excel at multitasking and be eager to support our fast-paced, ever-evolving operations.
Essential Duties and Responsibilities
1. Project Management
Oversee projects from conception to completion.
Continuously identify new projects, such as company blog development and social media initiatives.
Report directly to the Sales Account Executive with project updates and timelines.
2. Administrative Support
Coordinate the CEO’s and Sales Account Executive’s calendar, appointments, and schedules.
Prepare reports, presentations, data, and client progress reports.
3. Client Interaction
Prepare client content calendars and in some cases, meet directly with clients to review upcoming content.
Act as the liaison between clients, the Sales Account Executive, and the CEO.
Assist in the client onboarding process.
4. Social Media & Content Creation
– Develop Instagram posts using Adobe Illustrator.
– Maintain brand integrity through visually appealing design.
– Analyze performance metrics and prepare reports for the Sales Account Executive and CEO.
5. Personal Tasks for the CEO
Perform personal assistant tasks, such as but not limited to booking travel and making reservations.
Qualifications and Skills
– Minimum of 2-3 years of experience in an Executive Virtual Assistant role or similar.
– Proficiency in Adobe Illustrator and Google Workspace, particularly Google Sheets, is required.
– Excellent organizational skills and attention to detail.
– Outstanding verbal and written communication skills.
– Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
– Bachelor’s degree in Business Administration, Marketing, or a related field is a plus.
– Can work from Monday-Friday for 8 hours per day and 5 days a week.
Work Hours and Availability
– While the position does not require working during U.S. business hours, brief availability during the morning hours in U.S. Eastern Standard Time is essential.
