Real Tours is a dynamic media company seeking an experienced and proactive Executive Assistant to support our senior leadership team. As a key member of our team, you’ll play a pivotal role in ensuring efficient operations and seamless coordination for our executives.
Key Responsibilities:
Calendar and Schedule Management:
Efficiently manage the executive’s schedule, appointments, meetings, and travel arrangements.
Prioritize tasks based on urgency and importance.
Coordinate meetings, agendas, and room bookings while ensuring adherence to deadlines.
Conduct morning schedule reviews to ensure smooth operations throughout the day.
Skillfully manage conflicts and reschedule meetings when necessary.
Communication and Information Management:
Screen and manage incoming calls, emails, and messages, forwarding pertinent information.
Draft professional emails and letters on behalf of the executive.
Organize the executive’s inbox, maintain records, and prepare presentations for meetings.
Act as a primary point of contact for clients, colleagues, and stakeholders.
Travel and Logistics:
Arrange flights, accommodations, and other travel logistics for the executive.
Conduct research and suggest travel destinations and activities.
Manage expense reports and travel documentation for smooth trips.
General Administrative Support:
Oversee social media accounts and online presence.
Coordinate catering for meetings.
Handle confidential information and assist with project management and task delegation.
Adapt and learn new technologies and software efficiently.
Essential Qualifications:
Administrative Skills: Proficiency in Google Workspace, Docs, Sheets, Gmail, and familiarity with project management and communication tools.
Communication Skills: Exceptional written and verbal communication skills.
Organizational Skills: Ability to prioritize tasks and maintain a well-organized workspace.
Time Management Skills: Efficiently manage schedules and prioritize tasks.
Discretion and Confidentiality: Handling sensitive information with utmost discretion.
Problem-Solving Skills: Critical thinking and creative problem-solving abilities.
Desired Experience:
Previous experience in executive or administrative support roles.
Industry knowledge and travel logistics experience are advantageous.
Additional skills in social media management, research, and data analysis.
